Job description

The Accounts Payable Specialist II provides assistance to the Accounting Manager with the Accounts Payable administration, including receiving and processing invoices.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receive purchase orders and match vendor invoices.
  • Complete data entry and scanning of A/P invoices.
  • Complete new vendor setup and enter W-9s.
  • Research invoice and purchase order differences and resolve issues.
  • Prepare weekly check run, including printing and obtaining appropriate signatures.
  • Responsible for preparing and handling all company checks on a weekly basis or as required by management including set-up ACH transactions.
  • Complete reconciliation of vendor statements.
  • Respond to account and payment inquiries by vendors, auditors, or internal stakeholders. 
  • Perform audit of payables presented to Finance and confirm proper authorization, accuracy, and supporting documentation to determine if the payment has been properly assigned.
  • Perform all necessary Accounts Payable entry work to comply with the month-end close.
  • Processing Purchase Card payments and reconciling against card statement.
  • Review of freight invoices for accuracy
  • Perform other related duties as assigned.

QUALIFICATIONS

Required

  • High school diploma or trade school certification.
  • Five (5) years' related accounting experience.
  • Skill in the use of Excel, Word, and Outlook at an intermediate level. 

 

Preferred
  • Accounts Payable experience. 
  • Knowledge of Deacom is helpful.

The work environment is in a busy construction setting.  The noise level in the work environment usually varies. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions and may be required to travel in small and large commercial aircraft.
