Job Summary
The Accounting Specialist I will perform daily accounting duties to support our National Accounts Insurance program. This will include tracking, verifying, and investigating incoming coming payments from carriers, and processing related payables to the franchise community.
Major Duties and Responsibilities
- Coordinates centralized billing from Insurance Carriers participating in our program.
- Investigate daily mismatch and exception files from Insurance carrier EFT record and franchise upload records.
- Ensure incomplete jobs are uploaded into Claims Entry System.
- Record incoming manual checks into our system.
- Data reconciliation and analysis across multiple internal systems (Xtrack system and Great Plains).
- Coordinate centralized payment processing to our franchises twice per week.
- Support franchisees by providing timely updates regarding carrier payments, application of payments, providing remittance copies, reporting unapplied payments, assistance with uploads in Xtrack, and providing Mitigation Summary Report as requested.
- Act as liaison between the insurance carriers, franchisees, and National Account Coordinators.
- Ability to research and resolve aged balance sheet items by researching and clearing balances from Great Plains.
- Provide requested financial information to National Accounts team.
- Review and audit open and unpaid claims.
- Audit support - including preparation of requested documents and coordination of supporting information requested by external auditors.
- Responsible for keeping the Policy & Procedures for position accurate and up to date.
- Make sure accounting phones are always covered, including breaks and lunches.
- Assist with special accounting projects as assigned.
Required Qualification (Knowledge, Skills, and Abilities)
- 2+ years of experience in customer service based or accounting role required.
- Microsoft Dynamics (Great Plains) or other ERP experience preferred.
- Proficient in Microsoft Office and Adobe.
- Strong customer service mindset
- Strong problem solving and analytical skills.
- Highly organized, paying attention to detail and having the ability to multi-task.
- Ability to provide thorough reports and documentation of multiple activities.
- Must be flexible with high reliability and able to maintain strict confidentiality.
- Ability to work independently and on a team within a fast-paced environment.
- Ability to read, write, and speak the English language to communicate with employees, customers, suppliers, in person, on the phone, and by written communications in a clear, straightforward, and professional manner.
- Exercise independent decision-making skills and judgement with moderate supervision.
- Associate degree in Business, Accounting, or Finance, or comparable work experience, required.
