Job Description
Position: Accounting and Grants Coordinator (Salaried)
Reports to: Chief Financial Officer
Minimum Qualifications: Associate's Degree or a minimum of 3 years of full-time relevant experience. The individual must also have experience with Microsoft Excel, Word, Google Docs, and accounting software packages. Additionally, the individual must have the ability to work well with the public, students, and staff, and communicate effectively, firmly, and honestly in multiple formats. Exceptional organizational skills and the ability to work independently are imperative.
Terms of Employment: Twelve months, Full Time
Basic Functions: Under the direction of the Chief Financial Officer, to perform diversified duties as designated below for the District.
Major Duties & Responsibilities:
- Prepare monthly bank reconciliations for all District bank accounts.
- Prepare and post all cash receipts.
- Prepare and post all journal entries.
- Prepare, process, and post District budget entries including budget adoption, budget amendments, and budget transfers.
- Oversee budget preparation and actual budget performance for all state and federal grants, working alongside the CFO and appropriate grant manager to record changes to the budget.
- Oversee, review, and monitor all grant expenditures to ensure that are in compliance with grant guidelines.
- Prepare and file all financial grant reports and expenditure claims in coordination with the appropriate grant manager.
- Research, prepare, and file required regulatory reports as needed.
- Research and prepare reports as needed for various Committee and Board meetings, such as Monthly Financials, Investment, and Grant Reports.
- Assist in preparing all required Illinois State Board of Education annual reports and applications (Budget, Annual Financial Reports, EBF Spending Plan, Site-Based Expenditure Reporting, etc.).
- Assist in preparing supporting documentation for the Annual Budget.
- Assist in the preparation of work papers for the annual audit.
- Support and train building-level bookkeepers and building secretaries in all facets of running general ledger reports.
- In coordination with the Special Education Department, assist with the completion of state-mandated reporting such as Maintenance of Effort, Medicaid, etc.
- In coordination with the CFO, conduct site audits to ensure cash handling procedures are being followed.
- Assist with grant applications and/or researching potential grant opportunities as requested.
- Participates in meetings, workshops, and/or conferences as required in order to collect and convey information in relation to required functions.
- Perform such other duties and assume such other responsibilities as the Chief Financial Officer may, from time to time, assign or delegate.
