POSITION SUMMARY:
The Grant Accounting Clerk is responsible for assisting with the grant management and Grant Accounting for the various government, corporate and private foundation grants supporting the work of New Life Centers of Chicagoland. The Grant Accounting Clerk will work Full-Time 40 hours per week, non-exempt and will report to the Grant Accountant.
JOB RESPONSIBILITIES
Grant Management:
- Grant management duties include award and post-award fiscal grant management, including working with program staff to ensure fiscal compliance with state, federal, and private grant requirements.
- Assist the Grant Accountant with the grant disbursement process and reconciliations of grant and program expenditures to the general ledger and to grant funds.
- Review sub-grantee vouchers for fiscal compliance, including sub-grantee/sub-contractor grant expenditures and supporting documents.
- Assist the Grant Accountant with grant reporting, including supplying copies of audit and regulatory documentation to the appropriate requestor.
Grant Invoicing/Vouchering:
- Responsible for the processing of a portfolio of monthly grant vouchers including gathering and maintaining supporting documents.
- Collect and review monthly sub-contractor invoices/vouchers and supporting documentation
- Maintain audit-ready grant and sub-contractor invoice/voucher files and related supporting documents.
Other Duties –
- Perform general accounting activities, including reconciliations, assisting the Director of Finance during audits, and journal entries during the month/quarter and year end close.
- Assist in the generation of monthly financial reports, spreadsheets, and files.
- Cross-train to provide AP support, including assisting with Expensify administration.
SKILLS/QUALIFICATIONS:
- Bachelor’s degree in accounting or equivalent practical experience in fund-based accounting and account reconciliation.
- Proficient in computer skills with emphasis on Microsoft Excel, and specific fund-based accounting software.
- Working knowledge of QuickBooks, and preferably in the context of a non-profit or fund-accounting organization.
- Working knowledge of Sage Intacct preferred but not required.
- Attention to detail and precision in account reconciliation and report generation.
- Strong written and verbal communication skills.
- Commitment to confidentiality regarding all accounting records.
REQUIRED QUALIFICATIONS
- Must become a Certified Mandated Reporter. Training Provided.
- Must pass a background check, must not have any pending cases.
- Must pass a Child Abuse and Neglect Tracking System background check.
- Must pass a National Sex Offender Registry background check.
- Must have a working phone and phone number.
