Job Summary
The College of Earth, Ocean, and Atmospheric Sciences is seeking an Academic Advisor. This is a full-time (1.00 FTE), 12-month, professional faculty position.
This position has primary advising responsibilities for college-wide undergraduate advising. There is potential to advise for the various College of Earth, Ocean, and Atmospheric Sciences (CEOAS) undergraduate majors and minors. The incumbent advises students for both on-campus and Ecampus programs using various modes of communication. The advisor takes initiative and works as a member of the CEOAS undergraduate advising team. In particular, the advisor works with students on course selection leading to degree completion and on clarification of academic and career goals. Important aspects of the position include developmental advising, attention to detail, and frequent contact with other units at the University. All duties include working with diverse student and faculty populations. This individual may assist with recruitment and retention efforts. High-quality and consistent undergraduate academic advising is critical to the educational objectives of the University.

Key Responsibilities
80% – Advising:
Provide primary advising for CEOAS majors and minors, enrolled on campus and through Ecampus, pertaining to their academic planning and progress utilizing professional advising skills. Clarify University academic policies and procedures to assist students in making decisions concerning personal educational goals leading to graduation. Comply with the Family Educational Rights and Privacy Act (FERPA) rules and regulations related to accessing student records and confidentiality. Maintain detailed and accurate student records using web based Student Information System (SIS), OnBase, and Degree Works.
Advising includes but is not limited to the following:
  • Help students match their personal strengths and interests with opportunities within the University curriculum, both in general and within the degree program in particular;
  • Assess previous course work relative to degree requirements;
  • Advise on course selection and timelines;
  • Help students overcome problems that hinder their academic performance;
  • Carry out degree audits for students enrolled in these majors, including writing letters of recommendation;
  • Help to implement the experiential learning requirements for CEOAS majors in coordination with the Experiential Learning Advisor.
Participate in general advising across the CEOAS undergraduate degrees. Meet with prospective students, including curricular evaluation as able. Participate in student orientation programs throughout the year, including summers. Assist with recruitment and outreach events as needed. Work with advising support staff to prepare advising materials such as graduation checklists and program bulletins; stay aware of content on website, in catalog, and program materials to communicate appropriately when updates are needed; and maintain student records.
Communicate and work with students, Program Heads, CEOAS student services staff, Head Advisor, and Associate Dean of Academic Programs regarding academic programs. Communicate with the Program Heads and Head Advisor about emerging course needs in the degree programs. Collaborate across campus and with external campus stakeholders to understand services, and partner for opportunities available to students.
20% – College and Project Work:
Take point on a facet of the Undergraduate Student Services office functions, such as: recruitment, student engagement and community building, Ecampus engagement, or transfer student support and community college connections.

What You Will Need
  • Bachelor’s degree in discipline of choice.
  • Previous experience working with college students in duties such as advising, teaching, or student activities.
  • Excellent written and oral communication skills, including telephone, email, social media, and computer skills.
  • Strong track record of collaborative teamwork and open communications skills.
  • Ability to make independent decisions and solve problems.
  • Ability to work in a changing environment.
  • Competency with computer applications, including Microsoft Outlook, Microsoft Word, Microsoft PowerPoint, and Microsoft Excel, as well as with use of web browsers.
  • Advanced level experience with web-based communications.
  • Demonstrated ability to maintain detailed and accurate records.
  • Demonstrated ability to organize programs, plan and lead recruitment events, prepare advising/promotional materials, and communicate effectively with stakeholders such as administrators, faculty, team members, and students.
  • A demonstrable commitment to promoting and enhancing diversity.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

What We Would Like You to Have
  • Bachelor’s degree in a field related to Earth or Environmental Sciences or Geography.
  • Master’s degree in Earth or Environmental Sciences or a related discipline, or in College Student Services and Administration.
  • Previous work experience in a field related to Earth or Environmental Sciences or Geography.
  • Previous experience with Oregon State University (OSU) policies, procedures, requirements, and Student Information Systems (SIS).
  • Previous experience with university data systems such as Banner, Data Warehouse and MyDegrees.
  • Prior presentation experience to both small and large groups.

Working Conditions / Work Schedule
This position could require occasional evening and weekend work. The ability to travel as needed for recruiting or orientation events and/or professional development opportunities is preferred.
