JOB DEFINITION:

With limited supervision by Special Education teachers, the Special Education Records Clerk performs a wide variety of clerical duties. The employee processes files and records information, and coordinates with outside agencies, parents, students, and staff to comply with federally mandated special education law.

NATURE AND SCOPE OF WORK:

ESSENTIAL JOB FUNCTIONS:

  • Maintains and processes all special education records.
  • Responsible to support Special Education teachers in meeting Federally mandated census deadlines resulting in special education funding.
  • Assures that confidential nature of all student records is maintained
  • Contributes to the overall positive atmosphere of the department by maintaining excellent rapport with students, parents, and staff.
  • Assists with effective management of the work load in the special education office, to include coordinating IEP meetings with parents, students, staff, school psychologists, and other outside agencies as required.
  • Assists others with filing, sorting, data collecting, and organizing materials.
  • Prepares statistical reports.
  • Answers phones; takes and delivers messages.
  • Copies, collates, and distributes completed IEP's to designated recipients (Administration, cumulative file, parents, outside agencies.)
  • Keeps current on all IDEA laws relating to IEP implementation and documentation.
  • Fulfills other related duties as assigned.
  • Fulfills performance standards identified in the evaluation process as required by the position.
  • Fulfills working conditions and physical effort listed below.
  • Coordinate paperwork from multiple work locations and maintain communication with staff members at each of the assigned sites.

WORKING CONDITIONS:

The position of Special Education Records Clerk calls for a high degree of confidentiality concerning student records and confidential information regarding staff, students, and patrons of the District. The employee works under tight, inflexible deadlines. The tasks require extreme accuracy and concentration, but the employee works with continual interruptions. In addition, the employee must maintain a pleasant manner and appearance to students, parents and staff even under emotionally stressful situations. It is imperative that the person in this position enjoys working with students at the secondary age level. The employee also needs to be able to lift materials, boxes and equipment weighing up to 50 pounds.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge:

  • Computer technology and applications, applicable software and other equipment used in the workplace, as required by the position.
  • Filing and record keeping systems.
  • Student discipline and attendance procedures.
  • Safety practices.
  • Proper first aid procedures.
  • Knowledge of IDEA laws and updates.

Skills and Abilities:

Possess the physical ability to regularly attend work and fulfill the essential functions of the position with or without reasonable accommodation.

  • Communicate clearly and concisely, both orally and in writing, and communicate effectively with other employees, students, and the general public, using tact, courtesy and good judgment.
  • Acquire and maintain knowledge of computer systems as necessary.

EDUCATION AND EXPERIENCE:

High school diploma and up to one year of advanced training / experience in the specific job requirements. Comprehensive knowledge of grammar and the ability to use correct speech and compose routine correspondence is required. The position requires the ability to understand technical instructions (special education computer software).

The position requires working knowledge of several technical procedures or work activity. Working knowledge of school district practices or basic polices may be necessary. Tasks are varied. Job proficiency can be acquired in twelve to twenty-four months.
