Required QUALIFICATIONS
Required Education:
High school diploma or equivalent.

Required Experience:
Six (6) months of reception that includes general office or student support services with extensive public contact and data entry.

Preferred QUALIFICATIONS
Preferred Education
One (1) year of college with coursework in business administration, office management, or a related field.

Preferred Experience
  • General office experience performing the full range of office support duties that include answering telephones and front-desk reception.
  • Experience with data entry in a system-wide database.
  • Experience with video conferencing software such as Zoom, Google Meet, Microsoft Teams, etc.

Position Purpose:
To provide support to the Adult Basic & Secondary Education department by performing general reception, orientation, and Student Services work.

Essential Functions:
  • Provide initial program information to prospective students of diverse backgrounds in person, via phone or email, and refer students to appropriate resources.
  • Provide consistent support and encouragement to students.
  • Must demonstrate active concern for students and staff.
  • Assist in orientation including testing new students and discussion of test scores or referral to advising personnel.
  • Perform variety of tasks related to student admissions, (such as applicant interviewing, registration, solving student account issues, data entry verification and updating student data).
  • Work closely with faculty in ABSE and ESL departments to determine instructor and classroom needs.
  • Provide documentation, assistance, and information promptly.
  • Schedule work orders through Megamation facilities database.
  • Provide accurate and timely data entry to meet college and department deadlines.
  • Perform the full range of office support duties including word-processing, accurate filing, phone and front desk reception, processing forms, making copies, sorting mail, and maintaining inventory of supplies.
  • Regular attendance and participation in department meetings.
  • Maintain consistent adherence to confidentiality policies of the college and department.
  • Become CASAS certified to proctor computerized tests for all ABSE and selected ESL students.
  • Provide excellent customer service to all students, staff, and faculty of ABSE, ESL, or Lane Community College.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other duties as assigned.

Supervision Statement:
  • Work is under the general supervision of the ABSE Dean and performed independently based on a knowledge of office and Lane policies and procedures.
  • A Department Coordinator is available to plan and coordinate the work, answer questions and troubleshoot problems on a daily basis.
  • This position may have a responsibility to assign tasks, provide priorities, train and check the work of student assistants, hourly employees, and volunteers.
  • Work is reviewed by the supervisor for the quality of service provided to students.

Physical Demands/Working Environment:
  • This position works indoors and is exposed to usual office working conditions that include office noises and interruptions, such as printers, telephones, and visitors.
  • This position requires that an employee be able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6)hours a day.
  • Work may require transporting materials up to twenty-five (25) pounds.
  • Work safely.
