JOB SUMMARY:

Manage all shipping, receiving, production support, housekeeping activity and ensure the overall accuracy of both the finished goods and raw materials inventory. Manage and coordinate customer pick up activity. Documents the receiving, storage and issue to production of all packaging materials, and ingredients.  Responsible for the accurate maintenance of all inventories and receiver records. Assists the Distribution Manager with paperwork, audits, and preparation with other office duties.

 

RESPONSIBILITIES:

This position is responsible for the accurate shipment of customer orders and resolution of shipping discrepancies.  Also, to manage inventory control to include period end, year end and cycle count activity. Work with the Materials Department regarding daily receipts and inventory levels. Ensure the accurate documentation of periodic inventories. This position is responsible for all warehouse activities of hourly team members and our salary team. Will work with all team members to ensure compliance with GMP policy, food safety standards, productivity standards and safety procedures are all being met or exceeded. The Warehouse Area Manager leads their team by setting productivity goals, enforcing inventory accuracy, setting up logical organization systems and creating communication systems within the warehouse. They strategize about inventory volumes and warehouse capacity to maximize productivity, rearranging for improved efficiency while allowing warehouse teammates to easily navigate between aisles and warehouses. Successful Warehouse Area Manager's think and plan transportation, supply shortages and staffing issues.

 

DUTIES:

  1. Ensure the transfer of raw and finished product between locations is completed in a timely manner.
  2. Ensures off-loading procedures are followed and that proper computer documentation is completed for accurate inventory control.
  3. Help develop new shipping procedures that are needed to meet customer requirements and company efficiency.
  4. Manage the activities of the Warehouse Coordinator.
  5. Manages the shift in the absence of either the Warehouse Coordinator or the Warehouse Area Manager.
  1. When or if needed call off to the Distribution Manager and the current shift Area Manager.
  1. Manually track employees and enter all data in programs such as excel, word and email forms.
  2.  Ensures the accuracy and completion of the housekeeping activity to ensure SQF compliance.
  3. Generates needed shipping and receiving activity reports.
  4. 10. Coordinate with Customer Service, Procurement team, and Scheduling to ensure timely shipments and customer satisfaction.
  1. Ensures the accuracy of tracking time, pallets, and cases for all individuals on the team manually and records them to the computer. This is a task that is time sensitive (daily or by shift).
  1. 12. Help establish daily priorities for all warehouse activities.
  1. Audit print outs of daily computer transactions to ensure accurate data entry to material consumption.
  2. Interfaces with drivers for assignment of dock doors, issuance of paperwork and providing of directions.
  3. Coordinates the input and output of finished goods through the computerized system for storage, off-loading, loading and shipping activity.  (i.e., runs pick tickets, bill of ladings, misc. bill of ladings and special bill of ladings.)
  4. Edits all shipping activity through all exception lists (i.e., stales, etc.)
  5. Ensures all receipts of ingredients are properly labeled (follows allergen register), as required and documents any damage received.
  6. Conducts spot inventories daily of both finished goods and raw materials.
  1. 19. Ensures inventory counts conducted by self or others are entered into the inventory files on the computer.
  2. 20. Maintains a system of cyclic, periodic and spot inventories sufficient to attain a warehouse accuracy           of 97% or better.
  3. 21. Ensures receipts of items accounted for by weight are randomly verified.
  4. 22. Ensures all receipts of ingredients are properly labeled, as required and documents any damage received.
  5. 23. Do all PH and OB memos.
  6. 24. Complete all weekly consumption logs as well as scrap out items on our scrap trailers to ensure the accuracy of our scrap reporting before Cycle counts are complete. 
  7. 25. Check and correct all Allergen errors. 
  8. 26. Operates a computer terminal as necessary to correct and maintain all stores files, as well as to extract reports.
  9. 27. Communicate via telephone or email with internal and external customers.
  10. 28. Interact with hourly & salary teammates in a respectful and professional manner.
  11. 29. Conducts monthly period end inventory as well as year-end inventories. These are usually done outside of the work week.
  1. Conducts cycle count inventory on production locations weekly, this task can also take place outside of the work week.
  2. Assist customers who are picking up donations.  
  3. Must be able to maintain all Company policies and procedures and ensure all department staff adhere to them.
  1. 33. Attend's meetings and participates as a team member at a high level.
  1. Logs in receipts for small miscellaneous shipments (i.e., UPS, Fed Ex and Air Borne) and coordinates       prompt delivery of these shipments.                                                                                                                                                                                                                       
  2. Hire and train new hourly & salary warehouse team members.
  3. Oversees the training of new employees on our hourly team and salary team.
  4. Monitors and tracks the MSS schedule for housekeeping in the warehouse.
  5. Attempts to resolve any warehouse union issues.
  6. Ensures the warehouse is always in SQF audit ready condition.
  7. Monitor productivity of all employees.
  8. When needed, counsel any hourly or salary teammate that is performing below standard.
  9. When needed, schedule overtime in accordance with the union contract.
  10. Ensure all warehouse equipment is safe and being operated in a safe manner.
  11. Develop different storage patterns for items that will not ship immediately.
  12. Manage and staff warehouse to follow our warehouse budget.
  13. Ensure all shipping, receiving and storage procedures are being followed (i.e., FIFO program and allergen/organic programs).
  14. Ensures GMP audits, Glass and brittle plastic reports, and fire extinguishers are checked monthly.
  1. 48. Manages offsite warehouses to manage all aspects of the site.

  5. In-depth understanding of industry and company best practices for the warehouse.
  6. Familiarity with bookkeeping, inventory control practices and logistics.
  7. Comfortable using inventory management software and other organizational computer applications.
  8. Physical strength, stamina, and the ability to walk or stand for long periods of time.
  9. Audit and report inventory while making recommendations on which items to order and restock.
  10. Manage warehouse teammates, monitoring work and ensuring the safe use of warehouse equipment.
  11. Establish warehouse practices and protocols to achieve an efficient warehouse.
  12. Set warehouse and team goals in collaboration with executive management and other team leads.
  13. Monitor workplace performance and lead training initiatives to improve employees.
  14. Keep up to date on the latest federal and state safety regulations.
  15. Communicate with other departments to ensure products are shipped in a timely manner.
  16. Ensures Dayforce activities are being done by shift and by day. This includes pay, vacation, and ensures the accuracy of these items.
  17. Can use the copier, fax, scanner, and printer.
  18. Ensures the accuracy of our lot and the trailers that are on the property.

WORK ENVIRONMENT:

Must have good organizational and managerial skills.  Must be able to multi-task; work well under pressure and with a minimum of supervision.  Must be detail oriented and have the ability to effectively represent the warehouse to other departments.  Must be computer literate including the use of Microsoft Word and Excel and PowerPoint. Must be able to communicate in English clearly in both verbal and written form.  Must be able to access, input, and retrieve information from a computer. Energetic person with good people skills.  Able to work with minimal to no supervision.  Able to tactfully interface and support the efforts of other departments.  Requires the exercise of confidentiality, concerning access to pricing information, inventory records and technical data relating to packaging materials.  Required detail-oriented nature and conviction to extreme accuracy. Must be able to communicate in English clearly in both verbal and written form. Must be able to adhere to our GMP policies including but not limited to steel toe shoes, clean shaving, or mustache to the corner of the mouth, no artificial nails, nail polish & no piercings. Must be able to access, input, and retrieve information from a computer.  A Bachelor's degree in Supply Chain Management, Logistics, or Business or five to seven years' experience managing in same fields required.
