Brief Job Description (essential functions of the job):

 

Under direction from the Director of Youth Engagement and Employment, the Youth Employment & Payroll Coordinator will be responsible for overseeing the coordination and implementation of the City of Boston SuccessLink youth employment program that provides summer and school year job opportunities for nearly 6,000 youth in the neighborhoods of Boston.

 

This position is designed for a motivated individual with strong communication, organizational skills, attention to detail and an interest in youth employment, human resources, payroll, constituent services, and work readiness & skill development. This role relies heavily on the ability to navigate internal systems (i.e spreadsheets, application rubrics, timesheets, Human Capital Management platforms (iCIMS, PeopleSoft) etc).  

 

The Youth Employment & Payroll Coordinator reports to the Senior Manager of Employment, Payroll and Development and is responsible for coordinating and supporting all processes related to the employment of youth and young adults such as, providing direct assistance as it relates to youth recruitment, registration, placement, hiring, payroll management, system support and partnership management. This role is also focused on monitoring, auditing youth who are navigating the employment process and partnership program compliance.


Responsibilities and duties may include, but are not limited to, the following:

 

  • Review submission of partner applications and assess applicants fit for acceptance into the youth job program.
  • Support nonprofit organizations, CBOs and city agencies with iCIMS system navigation support to review youth who have applied to jobs.
  • Support youth employment hiring process, ensuring proper paperwork is completed and the correct hiring documents are submitted.
  • Maintains consistent and regular communication with youth and parents as they navigate throughout the employment program process.
  • Assist with the scheduling and facilitation of orientations and information sessions.
  • Contributes to a high energy team that is youth focused and youth driven.
  • Provides thoughtful and creative feedback regarding youth employment strategy as well as provides insight on improving processes.
  • Serves as primary lead on payroll process, including timesheet review, payroll input and check distribution.
  • Assists with youth employment record maintenance (i.e maintaining electronic and paper files, and system clean-up)
  • Provides web-based and systems management of the youth jobs hiring portal, partner inquiry form process, and SuccessLink Leader (ages 19-24) submission process, partner accountability notices, etc.
  • Maintains regular communication with City of Boston Office of Human Resources (OHR), Department of Innovation & Technology (DoIT), Auditing and Treasury to monitor and audit progress of employment program tasks list, and to ensure there is transparent interdepartmental wrap around support in addressing issues, troubleshooting concerns, and creating room and opportunity for refinement of processes. 
  • Assists in building and maintaining organizational systems to ensure high operational efficiency of the employment program.
  • Provides training and supervision of seasonal college-aged intern staff.
  • Performs partnership site visits and assists with work site evaluations.
  • Provides office coverage, answers telephones, and provides program and community resource information to the general public and constituents of the City of Boston.
  • Prepares office correspondence, program reports and other related materials.
  • Creates, updates and maintains youth employment data filing system.
  • Assists in the collection of data (i.e pre and post surveys, feedback forms, focus groups, etc) related to documenting and evaluating program impact.
  • As needed, supports and participates in general youth engagement and employment activities, events and special projects.
  • Performs related work as determined by the Director of Youth Engagement and Employment and/or delegate.
  • Performs related work as required.

  • Two (2) years’ experience in administrative work required (preferred in a youth development environment).
  • Appropriate education may be substituted for the required experience on a prorated basis.
  • Bachelor’s Degree strongly preferred and can be substituted for two (2) years of the required experience.
  • Good mediation, facilitation and listening skills required.
  • Good verbal and written skills. 
  • Ability to work on multiple projects simultaneously while maintaining attention to detail.
  • Strong organizational and customer service skills.
  • Ability to communicate clearly and concisely, both orally and in writing, with youth, families, community partners and constituents.
  • Proficiency with software such as MicroSoft Office (Word, Excel, PowerPoint, Publisher), spreadsheets, databases, Google apps and social media required.
  • Ability to learn software used in hiring and payroll such as iCIMS and PeopleSoft.
  • Knowledge of youth employment program strategies preferred.
  • Knowledge of the City of Boston, and local community organizations preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Ability to work in a fast paced environment.
  • Ability to be flexible and willingness to share ideas.
  • Ability to work some evenings and weekends required
  • Ability to work effectively in a multicultural, multi-ethnic work environment.

 

Work hours are 10:00 AM - 6:00 PM with seasonal flexibility as needed.
