Position Responsibilities
- Create and implement processes and systems for managing all accounting and investment management for the Family Office/CEO
- Partner with the CEO to manage all investments in the portfolio including assisting with transactions, making recommendations for changes,
- Manage the accounting for the Family Office/CEO’s personal finances and businesses (post payments, manage aging reports, cash flow reports, collections, cash disbursements, maintain trust accounting duties, paying bills, supporting tax needs, etc.)
- Prepare monthly financial statements for all Family Office accounts
- Prepare monthly ‘Investment Summary’ (updated summary of assets by entity)
- Develop and prepare a quarterly streamlined reporting package for all accounts within the Family Office
- Oversee cash management, including preparing wire transfers and coordinating funds movement with financial institutions.
- Interface with custodians, banks and money managers on day-to-day transactions and issues.
- Interface with managers from external partnerships to gather information as needed.
- Oversee payroll tax deposits, returns, and other filings related to family office on a monthly, quarterly and annual basis.
- Manually capture and reconcile alternative investment transactions and valuations into designated systems and spreadsheets
- Process, review and resolve any exception items to ensure accurate reporting of investments
- Review investment activity, performance, and cash flows to ensure data quality across accounts, entities
- Assist with managing the physical assets through vendor contracts, paying of invoices, and follow up on scope of work being met
- Manage vendor relationships, requests, and payments.
- Research and resolve issues or discrepancies with bill pay or invoices
- Bank account management and reconciliation
- Credit card management – Transaction entry and reconciliation
- Accounts payable (bill entry, mortgage, loans/LOC, credit cards, etc.)
- Payments - Wires, bill payments, checks, etc.
- Manage cashflow/funding requests
- Basic balance sheet reconciliations for various investments
- Life Insurance schedule and management
- 401k/IRA account reconciliations and management
- Assist the Accounting team with GL maintenance for family office bills/accounts
- Work with outside accountants/CPA firms for audits and tax preparations
- Plan, organize, and prioritize assignments to consistently meet high standards of reporting timeliness and accuracy
- Bachelor’s degree in accounting or finance
- CPA a plus
- 5-7 years of accounting experience
- Financial Services or Investment Accounting highly preferred
Experience/Skills:
- Solid knowledge of asset management, trust accounting, investments, real estate and overall financial management for the personal finances of high-net-worth individual
- Ability to harness accounting and investment knowledge to navigate complex financial issues to find creative solutions
- Proficiency in Microsoft Office, high proficiency in Excel
- Experience with Yardi a plus
