JOB TITLE: Administrative Assistant – Production
DEPARTMENT: Production
FLSA: hourly-paid, non-exempt
OBJECTIVE: Support Plant Management and COO through clerical and administrative duties
Essential Functions
A) Support all Managers in the facility
B) Accurately and efficiently enter production data into proper system daily. Send production report to the Warehouse Manager and Customer Service daily.
C) Check that the orders on the production log are complete and accurate
D) Make production orders for supervisors
E) Generate Bills of Lading
F) Insure all paperwork is accurately completed and properly maintained. Including but not limited to: production reports, orders
G) Order supplies for the facility, including but not limited to: office, raw materials such as pallets, shrink wrap. Interface with vendors
H) Interacts with staff and others in a professional and safe manner
I) Requires the ability to sit and walk for a minimum 8-hour shift; work on-site, overtime based on business need
Other Duties
A) Partner with Plant Management, Customer Service and Sales regarding paperwork, order status, expedited Shipping & Receiving
B) Maintaining raw material inventory counts in computer system
C) Match up paperwork for loads without clear documentation
D) Shipping & Receiving: schedule carriers for delivery and pick-up, send manifests to specialty customers, generate Bills of Lading
E) Prepare & maintain assigned spread sheets, including month-end inventory
F) Provide administrative and clerical support to the Plant Manager and COO
G) Cross-train and back-up other administrators in facility, especially re: insuring production orders are processed daily, maintaining production inventory and raw material inventory
H) Answer phones and direct calls to appropriate employee
I) Assist with projects as assigned
Reporting Relationship
A) Reports to the Production Manager
B) Supports the Plant Manager
C) Works closely with local Production and Warehouse Managers, Customer Service, Sales, the A/R Manager and the CEO
Minimum Qualifications
A) Good Written and Verbal Communication skills
B) Ability to work well with people at all levels of the organization, internally and externally
C) Proficient with Microsoft Office, Word and Excel
D) Excellent attendance
E) Must be able to travel occasionally
F) High School Diploma or GED
Preferred Qualifications
A) Prior Experience as Administrative Assistant
B) Bilingual English-Spanish
C) Available to work overtime
Physical Environment/Working Conditions
This position is in the factory, where temperature fluctuations occur throughout the year and where employees must use eye and hearing protection and be cautious around equipment and forklifts.
