Job description

The Arizona Animal Welfare League, the largest and oldest no-kill shelter in Arizona, is seeking a Volunteer & Events Manager to lead, manage staff and volunteers and execute community events for the Arizona Animal Welfare League.

The Volunteer & Events Manager will be responsible for oversight of AAWL’s volunteers and community events. The Volunteer & Events Manager is expected to collaborate with all areas of the shelter to ensure volunteers are utilized as a source to assist staff with their day-to-day functions and enrich the lives of our shelter animals. This position will be responsible for tracking and monitoring goals, providing guidance, mentoring and managing staff and volunteers. The job requires strong communication skills and data analysis skills, planning and executing all community engagement events, along with strategic thinking to ensure that we’re focused on maximizing our volunteers. Finally, the Volunteer & Events Manager is expected to understand customer service and ensure that every interaction results in a positive experience with volunteers, staff and the community.

The Volunteer & Events Manager reports directly to the Director of Community Engagement. This is a full-time, exempt position in Phoenix. In addition, the Volunteer & Events Manager will be responsible for supervising and managing staff and volunteers and scheduling/staffing events and/or areas within the shelter.

RESPONSIBILITIES
· Oversee AAWL’s database of 500+ volunteers.

· Manage Foster Family Coordinator and Events Specialist, including recruiting, hiring, coaching, and developing them, and setting annual goals and ensuring expectations for performance are being regularly met.

· Own all logistics, planning and assisting to execute all Volunteer and foster events, outreach events, including Walk to Save Animals.

· Provide guidance, support, and mentorship to the team and ensure successful deliverables and provide constructive feedback to help ensure accountability and a growth mindset.

· Organize, curate, and filter new volunteers as they process through the database.

· Develop strategies to grow our volunteer database, while also tracking retention and continued education of our current database.

· Create and maintain digital orientation and digital training classes. While also working with staff on in-person training class opportunities for volunteers.

· Manage and oversee execution for all community engagement events, including annual events such as Design for Dogs (February), Annual Brewery Event (October), Walk to Save Animals (November) and on-going events such as off-site adoption events, Bark Breaks, and Kitten Pop Ups.

· Maintain day-to-day relations and communication with volunteers.

· Manage staffing based on AAWL Pilar Strategy #4 - People and Culture Committee for staff and volunteers, including overseeing the execution of all staff and volunteer recognition activities.

· Ensure the volunteers always have the best tools needed to perform their tasks safely and with the training necessary to interact with animals of varying medical and behavioral needs.

· Ensure a mandatory “Buddy Day” is executed for all current and new hires.

· Work with each department of AAWL to identify areas where volunteers can assist staff, develop job descriptions and procedures that spell out recruitment, and conduct training to ensure volunteers are knowledgeable and prepared for the work.

· Conduct regular on-going assessments to ensure volunteers and staff are working collaboratively to meet organizational goals.

· Oversee the Volunteer Database system (Better Impact) to ensure records are up to date.

· Create content for AAWL weekly newsletter and Volunteer Facebook pages.

· Provide conflict resolution to areas of stress within the volunteer database.

· Develop and implement a youth volunteer program aligned with AAWL’s mission and goals. Provide guidance and ongoing support to youth volunteers to ensure a positive volunteer experience. Collaborate with internal departments to identify volunteer opportunities, projects and Events suitable for youth involvement. Recruit youth volunteers from diverse backgrounds.

QUALIFICATIONS:

· Minimum three years of professional experience in relevant roles (e.g., volunteer coordination/management, fundraising, community engagement, community-based organizations, etc.), including at least one year of management experience.

· Demonstrated experience building relationships with individuals, organizations, and businesses and an ability to think strategically about volunteer engagement.

· This is a “people-person” position, so we are looking for someone with exceptional communication and interpersonal skills, including the ability to resolve conflicts between staff and volunteers and build a strong culture of feedback, transparency and collaboration.

· The Volunteer & Events Manager is expected to work with diverse communities and build strong relationships with volunteers, staff, and the public.

· Experience delivering presentations to audiences of any size.

· Proficient in computer applications, including Outlook, Excel, MS Office Suite, PowerPoint, and databases. Strong analytical, organizational, problem-solving, and conflict-resolution skills.

· Ability to adapt to change and accept new duties within a fast-growing organization;

· A history of successful collaboration with people from diverse racial and ethnic backgrounds.

· Candidates must have a valid driver's license, and reliable transportation, as frequent after-hours, weekend travel in our targeted communities in 85009 will be expected.
