Virtual Office Manager

Location:

Fully virtual - Work from anywhere. Core hours are U.S. Central Time.

Job Type:

A contract position, with a potential to transition to a full-time permanent role.

Role Overview:

As the Virtual Office Manager, you will be at the forefront of supporting our two founders in the creation and execution of a comprehensive sales process for our budding sales team. This position calls for an individual who can not only identify structures that need to be set up but can also develop them and ensure they are continually monitored and improved.

You will also play a pivotal role in our legacy business by onboarding and supporting our growing clientele through learning our existing processes, ensuring they are properly documented, and improving them wherever possible.

There will be a customer-facing component to this position as well, making sure our clients are onboarded smoothly, have all questions and problems addressed quickly and completely, and have clear communication along the way.

Key Responsibilities:

  • Engage in daily check-ins with the founders to outline daily/weekly tasks and follow-ups.
  • Monitor progress across all company operations and sales; review the data, highlight what’s important and respond appropriately.
  • Assist the sales staff with the execution and monitoring of processes.
  • Cultivate and maintain relationships with key partners.
  • Ensure up-to-date data tracking across platforms.
  • Efficiently handle miscellaneous tasks delegated by the founders.
  • Oversee scheduling for our in-house call team. Adept at readjusting schedules.

Requirements:

  • Minimum of 2 years of experience in administrative or operations roles is favored. However, proven competence will be highly valued.
  • Competencies:
    • A penchant for organization is crucial. You like to organize information and bring closure to projects. You are adept at following structured plans and thrive in bringing method to the madness.
    • A satisfaction in curating and ticking off task lists is essential. You are good at confirming priorities, charting progress, and seeing opportunities to reduce inconsistencies.
    • A value for integrity and care. You authentically care about customers, your team, and the quality of work we deliver. You do what you say you'll do, even when no one is looking.
  • No minimum education prerequisites.

Preferred Qualifications:

  • Proficiency in tools such as Google Calendar, G Suite, G Mail
  • CRM platforms: Pipedrive, GoHighLevel, Calendly
  • A comfortable grasp on spreadsheets.
  • Able to map out workflows and follow them
  • Able to create / manage process checklists
  • Familiarity with these tools a plus (but not a dealbreaker if not, they are teachable skills): Zapier, Active Campaign, Clickup, 90

Compensation and Benefits:

  • Monthly pay from $4,000-$5,000 commensurate with experience, with bonuses based on future growth.

Reporting Structure:

You will be reporting directly to our two founders. Your managerial roles include overseeing the call team and aiding the sales team. As we evolve, you can expect an assistant to further streamline operations.
