ABOUT THE COMPANY:

Brother-sister team that owns and operates multiple franchised locations across 3 different concepts in the beauty, wellness, and fast food industries.

ABOUT THE ROLE:

We are looking for a highly detail-oriented and organized individual who can think critically and execute tasks thoroughly.

A full-time Administrative Assistant to help handle the administrative duties of a company that owns and operates multiple restaurants and salons. The entire office staff works as a team to get all daily, weekly, biweekly, and monthly tasks finished quickly and effectively.

REPORTING RELATIONSHIP:

The Office Assistant will work directly with the other Office members and report directly to the Owners of the company.

SCOPE OF WORK:(partial list, subject to change)

● Daily, weekly, monthly bookkeeping and accounting. Record keeping and Invoices, managing account receivables and payables

● Payroll: Managing bonus structures, labor costs, and cost of goods.

● Ordering inventory, product, and supplies for the restaurants, salons and office

● Communicating with and motivating managers regularly regarding operations and administration

● Organizing and storing all weekly paperwork received from restaurants and salons

● Checking emails, voicemails, and faxes

MINIMUM REQUIREMENTS:

● 3-5 years of experience in a related role

● Good communication skills

● Proficiency with the following tools: Gmail, Google Calendar, Google Sheets, Excel, Google Docs, Word, Facebook, Instagram

● Extremely detail-oriented and extremely organized

EXPERIENCE:

● Office Assistant: 1 year (Preferred)

● Human resources: 1 year (Preferred)

● Back office support: 1 year (Preferred)

● MS Excel: 2 years (Preferred)

SKILLS, ABILITIES, AND CHARACTER TRAITS

  • Computer Proficiency Required (Windows/PC) especially MS-EXCEL
  • Strong Microsoft Word and Excel skills required. Able to create and maintain documents and spreadsheets with formulas and formatting. Quickbooks experience preferred.
  • Can follow instructions and follow an effective system that has already been created for handling the administrative operations of the company.
  • Is adaptable to a fast-paced work environment with the ability to work well under high-pressure
  • Pays careful attention to details and can focus on the task at hand.
  • Has tremendous organizational skills and can follow up and follow through on tasks given and received
  • Is very proactive and can multi-task naturally
  • Has tremendous patience and strong communication skills. This position requires communication with owners, district managers, store managers and employees, various companies, and third parties.
  • Has an upbeat personality and optimistic attitude that is contagious to the rest of the office staff as well as the managers of the restaurants and salons whenever they communicate with the office

LANGUAGE SKILLS

● Excellent (near perfect) command over the English language since communication will be key in this role.

● Friendly and social - Friendly and polite with other team members, willingness to bond with them to form strong relationships, strong customer service skills.

● Confident and firm when necessary - confident with negotiating and haggling if necessary, firm with vendors if needed or if they owe us something or are not treating us fairly.

● Polite to employees no matter what - extremely polite and positive always with employees of the company. The office team works with hundreds of different people and represents the owners. Must be very polite, gracious, and kind at all times to the employees, even if the employee is rude.

WORK LOCATION

● Virtual - with video camera and mic on the entire 8 hour shift so that they can work virtually with the other team members who will all be in person.

COMPENSATION AND OTHER DETAILS

● Monday through Friday, 8:30 AM to 5 PM CST with a 30-minute lunch break. Lunch break must be coordinated with in-person staff so that we have at least 2 people actively working to cover email and phone

● Essential work must be done by end of the day which may require staying after 5 pm if necessary.

● Two weeks (80 hrs) of PTO and five days (40 hrs) of sick time per year.

● PTO Hours do not roll over nor get paid out upon departure and are available after 3 months of working.
