May Ave Animal Hospital is excited to announce we are seeking to hire a motivated Receptionist to join our team. We are driven to deliver excellent customer service and quality care for pets. We are a fast-growing practice and are looking to expand our staff. Our hospital is located in NW Oklahoma City area.

We currently have 1 full-time Veterinarian/Owner, 1 part-time Veterinarian and 5 paraprofessional staff members. We are pleased to offer patients state-of-the-art equipment such as, in-house laboratory machines, digital radiology, dental scaler/polisher, multiparameter anesthesia monitoring equipment and use of a paperless practice management system.
We are open Monday, Tuesday, Thursday and Friday 8am-6pm, Wednesday 8am-2pm and Sat 9am-12pm. We see a diverse caseload from illness, dental care and surgical cases but our main focus is strong preventative wellness care to help pets live healthier and longer lives.

We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards. Experience is preferred, but each employee will go through a detailed and structured training program.

Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and exam room
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Assist in invoicing, payment processing and medication dispensing
- Update calendars and schedule
- Keep updated records of communications with clients and patient medical records
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Ability to use Practice Management Software with Scheduler
- Proficiency in use of email for appointment requests and correspondence
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
