JOB TITLE: Veterans Clerical-Office Support- (May serve as a Backup Driver on occasion).
DEPARTMENT: Veterans Service
STATUS: 30 hours per week (80% of Full-Time)
(Generally, Monday through Friday, day shifts. At times may involve variable hours based on office and client needs. Must be able to work the assigned schedule).
JOB OBJECTIVES:
The essential purpose of this position provides basic office assistance to the Veteran Service Officer (VSO)/Assistant VSO. Examples of this may include: answering telephones, returning phone calls, taking, and retrieving phone messages, greeting customers, obtaining basic information from customers which are provided to the VSO/Assistant VSO, faxing, photocopying, scanning, filing, and pickup of supplies. On occasion may need to transport clients to and from various locations.

Customer Service:

Clerical Support:
  • Present a positive attitude in the workplace.

  • Keep a log of all Veteran's Office job-related contacts with veterans and the general public.
Driving:
  • Occasionally, serve as a backup driver.
  • Transports clients to and from various locations.
  • Performs daily pre-and post-trip inspections on vehicles; maintains various logs and checklists.
  • Assists in coordinating routine maintenance and services such as tire and oil changes, lubrication, general washing, and other functions.
  • Maintains fueling and cleaning of transportation vehicles and reports problems to supervisor.
  • Calls roadside service in motor vehicle emergencies.

Handling of Money:
  • Collects travel pay donations, issues receipts, and submits monies.
Other
  • Represent Douglas County in a professional and non-discriminator manner in all internal and external contacts when performing county business.
  • Comply with all Douglas County and Department employee policies and procedures, which include ensuring a safe working environment.
  • Ensure that assigned activities are carried out in compliance with federal, state, and county mandates.

  • Maintains valid driver's license.
  • Participates in defensive driver training.
  • Professionally communicate current and accurate information to the public.

The incumbent may encounter not public data in the course of these duties. Any access to not public data should be strictly limited to accessing the data that are necessary to fulfill the employment responsibility. While data are being accessed, incumbent should take reasonable measures to ensure the not public data are not accessed by individuals without a work reason. Once the work reason to access the data is reasonably finished, incumbent must properly store the not public data according to the provisions Ch. 13.
If a new work assignment requires access to not public data, the incumbent is permitted to access not public data for the work assignment purposes only. Any access to not public data must be strictly limited to the data necessary to complete the work assignment and after the assignment is completed, the employee's work assignment no longer requires access.
REQUIRED MINIMUM QUALIFICATIONS AT HIRE:
Education
High School Diploma or GED Experience.
Experience
Proficiency with computer software such as Phone, Microsoft Windows, Word, Excel, and Outlook.
Previous experience in Customer Service.
Licenses and Other Requirements:
Possession of valid Minnesota Driver's license.
Pass and maintain an acceptable criminal background check.
Pass and maintain an acceptable driving record.

  • Thorough knowledge of state and local laws governing the operation of motor vehicles on highways and city streets.
  • Skill in the operation of vehicles and large passenger vans in all weather conditions and metro areas.

  • Ability to use a computer or tablet to record time and maintain records.
  • Ability to adapt and perform under stress when confronted with an emergency or tight deadline.
  • Ability to record and deliver information, explain procedures, and follow oral and written instructions.
  • Ability to communicate effectively and efficiently with clients/passengers, coworkers, and the public.
  • Ability to drive for extended periods of time.
