Job description

General Responsibilities:

  • Always maintains visibility with crew members and has an approachable demeanor.
  • Effectively implements any new HR Policies, company initiatives or other applicable internal or external HR-related requirements.
  • Interprets and advises crew members regarding onboard policies/procedures and benefits.
  • Possess a clear understanding of processes that will enable the administration of progressive disciplinary action through coaching and counseling to improve performance or recommend termination of employment
  • Oversees the orderly and accurate e-filing of crew member documentation.
  • Maintain Crew information boards located in the crew hold/mess area.
  • Assists in any port or various authority inspections, conducts all onboard HR audits as needed.
  • Establish routines to maintain effective HR office operations onboard
  • Supports and partners with the shoreside HR team to resolve and escalate any issues/concerns.
  • Follows up with department heads on any elevated Crew concerns and discrepancies.
  • Maintain electronic crew data in Otalio system including demographics, personal information, documents, and onboard status to ensure an accurate headcount.
  • Manage crew berthing, including cabin assignments for newly embarked crew and manages cabin disputes and change requests.
  • Responsible for Onity Card system, Crew members ID cards/name badges and respective tasks.
  • Collaborates with Medical Officer, shoreside HR Manager, and other certified collections to meet drug & alcohol policy and testing requirements.
  • Participate and ensure participation of all USCG mandated drills and emergency procedures as directed
  • Performs other duties if required since above stated describe only a regular working day and may not be inclusive of every task needed to achieve results

Embarkation & Debarkation

  • Responsible for tracking arriving and departing crew in Otalio.
  • Responsible for liaising with Travel team directly regarding any issues with crew travel including coordinating and booking travel in emergent situations where Travel team isn’t available.
  • Responsible for timely management of crew check-in via Otalio and resolving any issues.
  • Prepares and implements an embarkation process for new hire employees to ensure a welcoming onboarding experience, including meet and greets.
  • Coordinates disembarkation tasks with department managers to ensure proper execution
  • Audits and ensures full compliance with crew articles, alongside marine management.

Employee Relations

  • Effectively consults with employees at all levels through listening objectively and providing solutions that support positive business results.
  • Promptly advises Fleet HR Director appropriately of any Employee Relations matters & plans to address.
  • In conjunction with Fleet HR Director & upon review, may be asked to facilitate onboard investigations, prepare the Investigation summary report and provide next steps suggestions.
  • Utilizes conflict resolution tools and mediates for win-win solutions in conjunction with HRD.
  • Communicates resignations to Fleet HR Manager, supervisor, & scheduling exit interviews; takes appropriate action to resolve any issues.
  • Coach onboard management on coaching/disciplinary action needs in order to help effectively manage crew member performance.
  • Oversees the onboard, internal position change process for crew members and closely collaborates with onboard leadership and shoreside teams to ensure right person, right place, right time and appropriate training is planned and tracked upon completion.
  • Works collaboratively with all levels of management to consistently improve business results and meet business objectives through following the Company's disciplinary rules and procedures.
  • Provides clear and concise guidance with development, delivery, and follow-up of performance improvement plans as assigned by the Fleet HR Director.

Crew Wellbeing

  • Oversees the planning and execution of crew events and solicits feedback from all departments on a regular basis
  • Ensures that Crew TV and/or Crew Information Boards are kept up to date with relevant information
  • Ensures that relevant shoreside information has been communicated to onboard team.
  • Ensures Employee Assistance Program (EAP) services awareness and implementation
  • Reports any observations or concerns to onboard management and Fleet HRM as related to crew wellbeing and welfare.
  • On call 24 hours a day for regular communication with management/crew and emergencies
  • Work with the Medical Officer and other appropriate members of operations to institute all illness plan protocols and procedures onboard
  • Conduct crew cabin inspections, in conjunction with Hotel Director and/or Captain, which includes oversight and coordination of follow-through, general assessment and upkeep of crew living standards in compliance with Company policies
  • Ensure new hire crew receive their uniforms upon embarkation and enforce grooming guidelines.

Training

  • Oversees completion of HR compliance training onboard through LMS.
  • Notify Fleet HR Director of any onboard training needs & develop a plan to address.
  • Facilitate New Hire Orientation & RESPECT Service System presentations.
  • Tracks training & license/certification records to keep HRIS system (UKG) updated.
  • Facilitates new-hire check-ins to support the onboarding process.

 

REQUIREMENTS & QUALIFICATIONS

Education:                                                                         

  • Bachelor’s Degree or equivalent of experience in a related field
  • Valid Transportation Worker Identification Credential (TWIC) – if applicable, and/or ability to obtain and maintain
  • Valid Driver’s License
  • Copy of DD214, if Veteran status

 Skills & Abilities:

  • Commitment to follow established policies and procedures.
  • Able to work independently to perform objective audit and reporting tasks.
  • Technology Proficient - MS Office 365, Outlook, Smartphone, Tablets, Zoom/Teams, and other varieties of software programs.
  • Initiative & drive to provide solutions as to solve problems quickly
  • Able to demonstrate experience in employee relations; disciplinary processes, investigations, resolving conflicts.
  • Ability to work well and communicate effectively with onboard personnel.
  • Ability to multi-task in a high-pressure environment with shifting priorities
  • Strong communication skills – written and verbal

Experience:

  • Minimum 2 years’ experience in HR positions showing progressive growth in responsibility or equivalent combination of education or experience
  • Cruise/Shipboard or Hospitality industry experience preferred
  • Experience with UKG, Concur, and Otalio systems preferred.

Physical:

  • Must submit to and pass mandated USCG physical
  • Ability to meet and maintain the maximum onboard bunk bed capacity of 300 lbs.
  • Ability to conduct work in a marine environment that is subject to some/all the following: confined spaces, uneven surfaces, variations in temperature, wake, and motion
  • Ability to lift and carry up to 50 lbs.
  • Ability to climb stairs and ladders
  • Must be able to work varied shifts, primarily onboard assigned vessel, upwards of 10 - 12 hours per day, and 7 days per week during rotation.

Other: 

  • Must be at least 21 years of age.
  • Submit to and pass alcohol and drug tests as mandated by the USCG including but not limited to pre-employment, random, reasonable suspicion, and post-accident/incident testing.
