Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate's qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.
Position Summary Information
Job Description Summary
The Travel Course and International Internship Assistant will provide administrative support to the Assistant Director. Assist with contracts, budgets, and proposal development for faculty-led programs and International Internships. This position will serve as a Center for Global Education liaison to faculty, administrators, and professional service providers. Opportunity for a hybrid or fully remote work schedule.
Responsibilities
Administrative Tasks
  • Daily administrative tasks such as email correspondence, phone calls, scanning, and printing documents.
  • Create Excel budgets from provider proposals. -Enter information, pull reports, and sort data from the Global Gateway (our online application system) and maintain other database systems.
  • Create and update fillable forms, documents, website content, and presentations.
  • Assist the Assistant Director with preparation for site visits, attendance at conferences, or special events such as the Study Abroad Fair.

Contract Support
  • Help create and edit program contracts from professional service providers.
  • Assist with preliminary and final budgets, fillable forms, and update documents for Travel Coursesand International Internships
  • Correspond with Legal, Risk, professional service providers, and Chapman departments on program contracts and budgets.
  • Keep contracts and budget files organized and on track.

Event Support
  • Help plan and create student pre-departure orientations and faculty training sessions
  • Assist with special events such as the Study Abroad Fair and International Education Week.

Required Qualifications
  • Experience in providing administrative support in a professional office.
  • Bachelor's degree or equivalent education or experience related to the duties and responsibilities specified
  • Strong written communication skills to prepare clear, concise, and grammatically correct business correspondence, including solid editing and proofreading skills
  • Demonstrated ability with Microsoft Word, Outlook, and Excel and the ability to learn and use campus enterprise systems
  • Strong organizational skills and meticulous attention to detail
  • Ability to anticipate tasks, prioritize multiple responsibilities and work collaboratively with others.
  • Ability to foster effective relationships and work with a diverse group of individuals from within and outside the University community
  • Ability to maintain a high level of confidentiality and demonstrate tact and diplomacy

Desired Qualifications
  • Experience providing administrative support in higher education
  • Proficient in Adobe Acrobat
  • Advanced knowledge and experience in working with MS Excel
  • Experience and interest in global education administration
