Part- time: March 1- March 15, 2024
Full Time: March 16- May 31, 2024
POSITION SUMMARY:
Actively develop a comprehensive skill set related to the department's functions and processes, ensuring a continuous learning curve. Work with various spreadsheets that cover multiple asset areas. Responsible for implementing and updating spreadsheets with precision, meticulously reviewing data for real-time accuracy. Effectively communicate with multiple staff, vendors, and service personnel to maintain collaborative relationships.
ESSENTIAL FUNCTIONS:
- Learn and understand the Transportation Department's essential functions and responsibilities.
- Familiarize with various numbering systems used across all areas.
- Gain knowledge of various departments within the festival's Production team.
- Review and update spreadsheets covering carts, equipment, trailers, and vehicles, ensuring real-time accuracy. Share documents with staff as needed.
- Review transportation needs submitted by different departments.
- Assist team members with field tasks and paperwork.
- Develop knowledge of the festival site, including grid maps, and provide site escorts for repair technicians.
- Manage paperwork for golf cart deliveries, schedule service needs, and monitor the Cart Pool Log. Provide daily reports of repair issues and service calls to vendors.
- Complete end-of-day reports, including fuel data entries, filing rental agreements, truck delivery, and service tickets.
- Assist Transportation Manager with receiving equipment deliveries and scheduling repairs. Handle office trailer deliveries, conduct floor plan inspections, and manage the trailer number system for placement and labeling.
- Maintain records of repairs and assist service technicians in locating site locations.
- Monitor and assist the fuel attendant with refueling operations and scheduling.
- Develop relationships with vendor representatives, repair technicians, and delivery drivers.
REQUIREMENTS:
- Maintain confidentiality regarding sensitive information.
- Accurately report absenteeism to the Festival Finance Office using the Absentee Request Form.
- Submit any intellectual property created for the Jazz Festival to the Festival through the appropriate channels.
- Complete required Feedback Forms and Final Reports.
- Perform other work-related duties as assigned.
- Attend and complete any required training.
EDUCATION, EXPERIENCE, & SKILLS:
Minimum high school diploma or equivalent. Transportation and logistics background preferred. Practical experience with vehicles, trailers and heavy machinery is a plus. Experience working in festivals or other large events preferred. Must have a working knowledge of Google Workspace. Must be able to organize in a highly demanding and stressful environment. Must work well with others. Requires long hours and some physical exertion and stamina. May require some lifting.
