Job description

JOB SUMMARY:

The Training Specialist will conduct in-person and virtual training for employees working in a 24-hour shelter for unaccompanied children funded by the Office of Refugee Resettlement (ORR). Training must ensure compliance with new hire, and annual training requirements. Topics will include but are not limited to: Pre-service Training, Building Relationships with children, Understanding Child Development, First Aid/CPR, Developing a Culture of Care and Non-Violent Crisis Intervention. Training will focus on the further enhancing the employee’s skills to ensure a safe residential experience for the children. Training Specialist must utilize current best practices using proven andragogy for learning and development to include training on policies, procedures, and skills. Training will also include certifying Youth Care Professionals in the Residential Child and Youth Care Professional training from the University of Oklahoma National Resource Center for Youth and Services (NRCYS), while adhering to Michigan Department of Health and Human Services and ORR contract requirements. Must strictly enforce and adhere to ORR’s Zero Tolerance Policy regarding abuse and neglect and all relevant ORR policies and procedures always ensuring the safety of the children and youth.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Develops training courses and materials to be used in workshops, groups, and one-on-one training sessions.
  • Follows the critical premises while training which include self-concept, adult learner experience, readiness to learn, orientation of education, and motivation to learn. Training will be provided to program staff, subcontractors, vendors, and volunteers to ensure a full understanding of the expectations of their interaction with youth in care.
  • Conducts virtual and in-person trainings using Teams, Zoom, Canva, Prezi, PowerPoint, or other software systems.
  • Assesses participants learning performance; identifies need for additional, specialized, or adaptive instruction.
  • Maintains records of completed staff training and ensure staff is adhering to program, MDHHS and ORR contract training requirements. Program staff training is due either at time of employment, monthly, quarterly, or annually.
  • Records will be maintained in the program’s Learning Management System. • Attends all organizational required trainings.
  • Ensures ongoing training to enhance professional skills in education and direct supervision, vocational, OSHA, HIPPA, Sexual Harassment, Reporting Child Abuse, Cultural Awareness, and other topics deemed appropriate by supervisory staff.
  • Completes and maintain a certified instructor training course for First Aid/CPR, Managing Aggressive Behavior through NRCYS, and other certifications as deemed appropriate by Assistant Program Director
  • Attends all departmental and program meetings to ensure that up-to-date information is received or information regarding policy changes are adhered to and shared through ongoing training sessions.
  • Travel overnight for an extended period will be required at times to provide in-person trainings and/or to maintain certifications.
  • Actively participate in and/or facilitate in program wide events and serve as a vital member of the program team to ensure events are successful for youth and staff.
  • Provides feedback to product and software development staff when modifications could improve user-friendliness of the programs, applications, and processes for which training is provided.
  • Gather and/or maintain information for reporting requirements (monthly, quarterly, and/or annually)
  • Performs other related duties as assigned by Assistant Program Director or designee.

STANDARD REQUIREMENTS:

  • Be a brand ambassador and always reflect company values.
  • Must be 21 years of age or older to work directly with youth.
  • Must maintain any licensures/certifications during employment and/or obtain within required timeframes, if approved.
  • Ensure completion of On-the-Job Training requirements.
  • Meets dress code/uniform standards; appearance is neat and clean.
  • Complete any training requirements including Management Aggressive Behaviors/NRCYS and CPR/First Aid.
  • Maintains dependable attendance and ability to work a flexible schedule.
  • Assist in the safe evacuation of youth if needed.
  • May need to respond to emergency situations to ensure the safety and security of the youth.
  • Wear an ID badge while on company property or job sites.
  • Recognize the signs of abuse, neglect, exploitation, and provocative behavior. Follow reporting requirements for relevant state and federal contract requirements and document adhering to timeframes.
  • Must maintain confidentiality in all program areas including any information regarding youth.
  • Maintain confidentiality of health care records and information in keeping with HIPAA and Protected Health Information (PHI) requirements.
  • Maintain professional conduct and ensure appropriate respectful interactions during any contact with youth, staff, state licensing representatives, ORR/Federal Field Staff, and other vendors or community members.
  • Follow all company policies and procedures.
  • Adhere to all state and federal laws and regulations.
  • Enforces safety and security standards for students, staff, and visitors.
  • Clear MVR Check.
  • Clear criminal background check. Including a national criminal fingerprint background check.
  • Clear drug testing results.
  • Clear Tuberculosis results.
  • In adherence with federal or state contract requirements (as applicable): Proof of COVID Vaccinations and other immunizations (i.e., varicella, measles, mumps, tetanus, Tdap, rubella, Flu, Hepatitis A and B).

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree in education or other related fields with a minimum of 2 years of experience working with children and youth and 1 of those years being in a shelter setting with children preferred. May include Internship or Volunteer positions held, or
  • High School Diploma or GED with 5 years of full-time experience in a shelter setting serving children or youth may be considered in lieu of education.
  • The following certifications are required of the Training Specialist or must be obtained within a specific approved timeframe: National Residential Center for Youth Services (NRCYS) Instructor Certification; American Red Cross CPR/First Aid, AED, Blood-Borne Pathogens for Pediatric Child and Adult, Instructor; Managing Aggressive Behavior (NRCYS); and ALICE Active Shooter Certified Training Instructor.
  • Proficiency in Microsoft Office. Especially PowerPoint, and Excell.
  • Familiarity with Canva, Prezi and other presentation software is a plus. The ability to type and use a tablet/iPad, laptop, or desktop is needed to complete daily tasks.
  • Must successfully complete a 40-hour Train the Trainer Certification to ensure mastery of training content prior to training program staff.
  • Able to work with multiple members of a Team including field and office personnel.
  • Show a history of organizational skills and an ability to communicate accurately and effectively, verbally and in written formats.
  • Well organized, highly motivated, excellent communication skills, leadership skills that also display integrity.

LANGUAGE AND COMMUNICATION SKILLS:

  • Ability to read, analyze, and interpret professional journals, technical procedures, or government regulations.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from sponsors, family members, direct care staff, state licensing representatives, and ORR/Federal Field Staff.
  • Ability to speak, read and write in English language is required.
  • Ability to speak, read and write in Spanish is preferred, other languages may be considered depending on program needs.
  • Ability to communicate accurately and effectively with multiple members of a team including relevant state licensing representatives, and ORR/Federal Field staff.
  • Gather and/or maintain information for reporting requirements (weekly, monthly, quarterly, and/or annually).

WORK ENVIRONMENT:

  • The Training Specialist will work in-person or remotely, as needed.
  • The work schedule will include an 8-hour workday with some holiday and weekends hours required at times.
  • Work is conducted in a 24-hour shelter setting with children whose primary language is Spanish.
  • Noise levels will vary indoors and outdoors.
  • Work environment may include working either indoors or outdoors.
  • Position can require a great deal of standing, walking, stooping, squatting, kneeling and some heavy lifting of up to 30 lbs. and can also involve sitting for extended periods to ensure that documentation is entered in a timely manner for the safe renunciation, discharge planning and provision of services to youth.
  • Must use headphones and learn the proper use of a secure two-way communication device is pertinent to the overall care, safety, and supervision of youth
