WHAT IS TMS?

TMS stands for Transcranial Magnetic Stimulation which is an FDA-cleared, non-invasive treatment for Depression, OCD, and Smoking Addiction, typically provided on behalf of psychiatrists. We help these practices get more TMS patients.

-ABOUT THE ROLE-

-TMS INTAKE COORDINATOR-

• This position is part of our Appointment Booking service line where we book highly qualified TMS evaluations for our clients
• New leads come into our custom software, App4TMS, and this role must respond quickly to patients, verify their benefits, pre-screen them based on their specific insurance criteria, and book TMS evaluations.

We are looking for an excellent communicator with 2+ years of TMS enrollment experience, capable of jumping right into conversations with patients, fielding their questions about TMS, overcoming their barriers to entry, calling insurances to verify the patients TMS benefits, giving a detailed benefit breakdown to the patient, gaining commitment from them to give TMS a try, then booking the evaluation.

Any of these areas would be a huge plus:

Responsibilities:

• Regularly use of our CRM software, APP4TMS.com to respond quickly to all new patient leads that come through
• Guide patients through the enrollment process while building a relationship with them as their care coordinator
• Pro-active problem-solve and take notes to ensure patients feel heard and taken care of
• Actively track and follow up up with patients to continuously generate new opportunities
• Call the patient's insurance to check their outpatient mental health and TMS-specific benefits
• Use our benefits calculator and following up with the patient quickly to give them a detailed breakdown of their benefits and financial commitment
• Book the patient's TMS evaluation based on the client's set availability
• Actively communicate with the client in order to address patient concerns quickly and effectively
• Meaningful collaboration with the rest of the team to communicate account status and provide solutions
• Track account status and adding notes into our project management software, ClickUp
• Provide detailed reports and communication on account status, # of evals booked, eval statuses, and any barriers to a healthy enrollment for our clients

Qualifications:

• 2+ years of experience at a TMS clinic
• 2+ years of experience speaking with patients about TMS
• 2+ years of experience verifying insurance benefits for TMS
• Highly effective communication skills
• Strong interpersonal and relationship-building skills
• Pro-active problem solver
• Strong project management skills
• Team player motivated by helping people

Education and experience:

• Minimum 2 years of TMS clinic experience as mentioned above
• Bachelors degree preferred but not required; preferably in healthcare-related field, psychology, or education
• Strong computer skills
