CarGroup Holdings, LLC d/b/a webuyanycar.com® USA is a successful consumer-to-business website that lets customers value their car online and sell it at a local branch. We are car buying specialists and do not sell cars: we have valued over 10 million vehicles online and buy thousands of cars every week nationally.

Summary:

Reporting to the Sr. Manager of Titling & Documentation, the Title Specialist (Title Supervisor) is a Supervisory role, performing a variety of clerical, recordkeeping, and customer service tasks to assist with vehicle remarketing in obtaining titles from finance companies and shipping the titles to remarketing outlets.

Supervisory Responsibilities:

  • Recruits, interviews, hires, and trains new Title Clerk and Lead Title Clerk staff.
  • Organizes and oversees the schedules and work of Title Clerks and Title Lead Clerks as assigned.
  • Ensures efficient team oversight including directing Title Lead and Title Clerks in daily routines and Cross-trains others to handle title clerk daily responsibilities in accordance with departmental goals.
  • Conducts performance evaluations that are timely and constructive.
  • Handles discipline and termination of employees as needed and in accordance with company policy.

Duties and Responsibilities:

  • Resolves any problems or concerns that have been established to them by Title Processor Lead or Title Processor.
  • Regularly work with Deal Support to enhance or implement Titling Procedures within area and conducts periodic training sessions for various departments and team members including, Deal Support/Compliance Managers, Branch Managers, and Area managers regarding Title regulations and procedures and issues corresponding written communications whenever regulations change.
  • Prepares tax and title documents (specific areas)
  • Assist with processing titles.
  • Submits all legal transfer work to the Department of Motor Vehicles/Auctions.
  • Checks for accuracy in the application documentation and ensures that all information is complete.
  • Verifies that funds have been collected and the correct Lienholder is paid off before processing title.
  • Prepares payoff checks for financed vehicles.
  • Maintains a system to verify titles in different state laws.
  • Signs over titles for all wholesalers who have paid in full. Prepares a bi-monthly report to management due to missing or incomplete title work.
  • Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the comptroller at the end of month.
  • Processes yearly renewal of dealer tags in conjunction with company vehicles/mobile units.
  • Stays abreast of title regulations. Attends seminars held by local licensing bureaus and any available training on title regulations.
  • Maintains a professional appearance and a neat work area.
  • Keeps and maintains appropriate production and employee records.
  • Ensures that assigned departments comply with company policies and safety standards.
  • Coordinates with human resources to respond to employee concerns or complaints.
  • Other duties as assigned.


Required Skills and Abilities:

  • Strong supervisory and leadership skills.
  • Excellent verbal and written communication skills with the ability to communicate with different audiences to work with cross functional and diverse teams of professionals.
  • Possess strong research, analytical, and problem-solving skills with demonstrated ability to use findings to prepare well-written, accurate reports.
  • Excellent organizational skills and attention to detail with the ability to deliver accurate and clear results.
  • Ability to prioritize tasks and to delegate them when appropriate and with a sense of urgency.
  • Ability to function well in a high-paced work environment.
  • Demonstrated ability to focus on constant process improvement and use of technology to become more efficient.
  • Proficient in Microsoft Office Suite or related software.
  • Basic understanding of how to operate standard business equipment.
  • Positive attitude: Proactive and positive personality/energy


Educational Requirements and Experience:

  • High School diploma or GED required; associate or bachelor’s degree preferred.
  • General automotive industry knowledge.
  • At least two (2) years of supervisory experience required.
  • 2+ years’ experience in re-assignment of vehicle titles and knowledge of Lien Releases & Letters of Guarantee required.
  • Knowledge of local & global requirements and applying best practices at work.

License Requirements:

  • Licensed State Notary desired, or ability to obtain State Notary Licensure.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift to 15 pounds at times.
