JOB TITLE: Mail OfficeAssistant
DEPARTMENT: Mail & Office Services
REPORTS TO: Assistant Manager & Manager, Mail & Office Services
POSITION OVERVIEW: Under the supervision of the managers, the Assistant is responsible for all shipping, receiving, office equipment maintenance, and inventory functions for all SVA locations. Additionally, the assistant will systematically handle incoming, outgoing, and inter-office mail and packages as needed. The Assistant interacts with all SVA departments to coordinate and ensure the timely delivery and flow of supplies, equipment, and packages between all building locations. This is a temporary position with the possibility of extended and/or permanent hire.
DUTIES AND RESPONSIBILITIES:
Office Services
- Shipping and receiving of packages via FedEx and other delivery services, maintaining proper
- documentation and record keeping
- Maintain equipment inventory control, keeping detailed records of equipment (location, moves, changes and service logs)
- Maintain office supply and stationery inventory control, keeping detailed records of usage and the preparation of recharge reports pertaining to supply storeroom activity
- Process documentation for receipt of materials and work with the Purchasing Office on coordinating receipt of goods/services
- Assist with filing claims for damaged products with vendors and communicate accordingly with Purchasing and other departments
- Coordinate pick-up (loading), transportation, and delivery (unloading and placement) of goods and equipment
- Handling and moving materials, including office moves (furniture), props/goods to offsite events, and materials to domestic/international recruiting events
Mail Processing:
- Pick up and deliver mail from/to FedEx, UPS, and USPS(involves heavy lifting)
- Sort, prepare, and deliver interoffice, USPS, UPS, and FedEx mail to all SVA departments in a multitude of buildings on our urban campus
- Tracking of certified, registered, and express mail.
- Operation of all folding, inserting, and mailing equipment
- Preparation of all USPS classes of mail.
- Occasional hand deliveries of important documents throughout SVA.
- Perform other related duties as required
QUALIFICATIONS:
- HS diploma or equivalent required
- Prior experience in Mailroom, Receiving, Inventory Control and/or Materials Management
- Strong written, verbal, and interpersonal communication skills
- Customer service oriented
- Familiarity with computerized order entry and inventory systems (FedEx & File Maker Pro) and basic MS Word and Excel skills.
- Excellent organizational skills and detail-oriented
- Ability to work independently without supervision and take direction well.
- Ability and willingness to work during holiday periods as needed
- Ability to perform heavy lifting required (up to 50 lbs)
