Job Summary:
Assists in surgery scheduling, counseling of patients and completion of associated forms and certifications, on busy patient days work as a scribe for M.D,
Responsibilities:
- Normally works 8:00 A.M. to 5:00 P.M. However, must check the doctor’s pending patients at the end of the day to ensure all surgical patients are attended to.
- Greets patients, determines needs and responds accurately.
- As appropriate, assists in screening patient phone calls or walk ins and answering patient questions.
- Schedules all office and hospital surgery with pre-op and post-op follow up appointments. Prepares consent forms for patient’s signature for specific surgical procedures. If surgery is scheduled over the telephone and not in person, makes every effort to have file patient stop by the office and sign the forms prior to surgery, particularly YAG lasers. Make sure all patients have an exam within the timeframe for surgery.
- Counsel’s patients regarding surgery and surgical insurance; both in office and by telephone. Initiates financial arrangements for patients when necessary. Explains patient’s responsibility and/or cash price and collects surgical fees for surgery at least 1 week prior to procedure. Premium lens options payments must be made prior to the day of surgery either in person or by mail if patient is out of town.
- Verifies insurance coverage according to procedure, at least 12 days prior to surgery. Verifies effective date of insurance, any pre-existing, and if the effective date is less than a year, what the deductible is and how much of it has the patient met to date. If the patient has not met the deductible explain to the patient they must pay before surgery.
- Obtains all required certification for surgery. Contacts appropriate personnel at hospital or surgery center to schedule blocked time for surgeon and order appropriate supplies and reserve equipment.
- Make sure surgical Op reports are given to doctor on a weekly basis to be signed. Must never fall behind. If they cannot be printed than the Op reports should be pulled up on the doctors computer so he may sign them. This must be done weekly.
- Prepares surgical orders with clinical data for physician to complete and sign. Delivers orders to hospital.
- Contacts patients and assures their compliance with pre-op orders.
- Develops and understanding and maintains currency in coding and third party surgical procedures. Maintains contact with appropriate Medicare and other third party representatives to aid in interpretation of regulations and problem resolution.
- Is familiar with and notes appropriate modifiers. Codes surgical orders upon completion of surgical procedures.
- Works closely with insurance. Accounts Receivable, and Patient Relations to ensure use of correct coding. Ensures the department supervisor is aware of any problems or change.
- Performs other job related tasks as requested by assigned supervisor.
- Reports to Doctor first than office manager.
Requirements:
- Must have 3-5 years experience in a surgery counseling/similar role.
- High School Diploma or GED
- Energetic and Eager to Continue Learning

- Able to work well on a team
