Position Summary
The Support Center Administrative Assistant serves as the primary host for Goodwill visitors and provides service that ensures an excellent first impression and customer experience for all guest interactions, in person, via telephone and email communications. Assists with other related administrative support functions as needed, including serving as the GCCVA notary public for the Central region, intake and logging of all mail, packages and payments made via mail. In addition, this role provides administrative support to the Marketing & Communications team by logging invoices and assisting with the administration of the Rewards and Recognition program.
Essential Duties(Other duties within the scope of this position may be assigned.)
1. Greets visitors in a professional and courteous manner; issues and monitors visitor badges at reception desk; announces visitors to appropriate staff. Monitors waiting visitors for security risks; notifies Asset Protection of undesirable behavior.
2. Provides quality customer service by answering incoming calls covering a wide range of questions and inquiries such as information on donations, employment services, business enterprises.
3. Navigates a computerized system to address and resolve caller's issues. Uses standard screens, scripts and procedures to handle callers' needs effectively.
4. Completes data entry of information into spreadsheets (examples: visitor log, check receipt log, MailChimp, Salesforce, etc.).
5. Processes all incoming mail, including logging of all mail daily in appropriate intranet log. Maintains confidentiality of received and outgoing mail in alignment with Human Resources and Finance department policies and procedures.
6. Oversees intake of cash/check donations for the Central region using defined Finance and Development processes.
7. Assists in responding to online comments submitted via website or social channels as directed by MARCOM.
8. Provides administrative assistance to the Marketing and Communications Coordinator by processing and coding MARCOM invoices monthly, assisting with Rewards and Recognition program execution and other administrative tasks.
9. Assists various departments with large mailings, including associate, board, and donor mailings.
10. Serves as notary public for the Central region and Richmond Support Center.
Supervisory Responsibilities
The associate in this position does not have any supervisory responsibilities.
Education/Experience/Certificates/Security Clearance
High School Diploma or GED required.
1-3 Years' experience in a related field required.
No professional certifications are required for this position.
The associate is not required to drive as part of their job duties.
Associates in this position will be required to successfully pass both state and federal criminal background checks and sex offender check.
Ability to operate PC, proficiency with Microsoft Office including Word, Excel, and Outlook.
