Job Description
Respected family-owned construction company deeply embedded in the Richmond, California community is currently seeking a diligent and experienced Subcontracts Administrator. As the Subcontracts Administrator, you will be instrumental in managing subcontractor relationships and overseeing contract administration processes for our construction projects. Your responsibilities will include attending job startup meetings, preparing and distributing letters of intent, coordinating subcontractor contracts and insurance compliance, managing Project Labor Agreements (PLAs), and ensuring accurate document management. This role requires onsite reporting in Richmond, CA, five days a week.
Key Responsibilities:
- Attend job startup meetings to familiarize yourself with project requirements and timelines.
- Prepare and distribute Letters of Intent (LOIs) as approved by the Project Manager.
- Prepare startup documents to be sent with LOI, collaborating with relevant stakeholders.
- Manage subcontractor and supplier contracts, ensuring timely execution and tracking contract changes.
- Coordinate subcontractor insurance compliance and provide the final subcontractor list to the CCIP coordinator.
- Execute Change Order Credits for CCIP Enrollees and obtain proof of subcontractor insurance.
- Set up Procore financial tools with cost codes, project budget, and subcontractor commitments.
- Collect signed documents for Project Labor Agreements (PLAs) and maintain meeting records.
- Evaluate all received documents for completeness and compliance, communicating with Project Manager regarding missing items.
- Ensure all documents are stored according to company policy and maintain detailed and organized file
Qualifications:
- Minimum of 2 years of experience in contract administration, subcontract management, or procurement within the construction industry.
- Comprehensive understanding of insurance processes relevant to subcontractor management.
- Proven ability to effectively communicate and negotiate with subcontractors and internal stakeholders.
- Exceptional organizational skills with meticulous attention to detail.
- Proficiency in Microsoft Office Suite and contract management software.
- Strong analytical skills with the ability to evaluate contract documents for completeness and compliance.
- Ability to thrive in a fast-paced environment and prioritize tasks effectively to meet deadlines.
- Previous experience with Procore or similar project management software is a plus.
