Work Hours: Monday - Friday 8:00am-5:00pm

 

 

THE DEPARTMENT

The Office of Study Abroad supports Cal Poly Pomona's international initiatives by leading student and faculty mobility including Exchange, CSU IP, and Faculty-led Programs and the International Student and Scholar Services Office, which maintains the university's SEVIS compliance. CPP international initiative advances global citizenship, cultural competencies, and diversity of the university campus through its programs.

 

DUTIES AND RESPONSIBILITIES

  • Interface with faculty, staff, and management (e.g., Associate Deans, Directors, etc) to help explain, promote, educate, and assist with different types of Study Abroad opportunities, processes, procedures, travel protocols, and funding options.
  • Develop content for and conducts informational and educational orientations, including predeparture and risk management sessions to students.
  • Ensure compliance with campus travel policies, works with Budget Analyst to negotiate, and secure contracts with travel vendors and procurement office.
  • Work with overseas partner institutions to ensure proper student enrollment, course selection, housing and travel documents are in order.
  • Work with relevant offices such as Registrar, Financial Aid, Student Life, Career Development to promote and facilitate international education.
  • Facilitates course approval process. Work with Lead and Budget Analyst regarding student enrollment, tracking student payments, vendor accounts and insurance/risk management compliance.
  • Correspond daily with students regarding Faculty-Led Programs including application procedures, enrollment, course selection, travel documents and visas.
  • Collaborate with Lead to provide Study Abroad advising and coordination of students for CSU IP, exchange, and independent programs.
  • Work with Chancellor's Office staff to ensure applications and supporting documents are properly submitted.
  • Facilitate inbound exchange student application processing and approval, class schedules, course approval, housing options and campus orientation.
  • Ensure timely mailing of acceptance documents and DS-2019.
  • Inform inbound and outbound students and sending institutions on all CPP policies, deadlines, and regulations. Handle processing of grades and transcripts to sending institutions.
  • Responsible for marketing and outreach of all Study Abroad programs campus-wide.
  • Conducts active outreach to academic colleges and departments to promote existing programs and create new programs.
  • Create newsletters, flyers, email blasts, updates to social media and website.
  • Work with CPGE marketing to design brochures and other materials.
  • Coordinate annual Study Abroad fair and other Study Abroad alumni events to support continuous program growth.
  • Conducts bi-weekly Study Abroad information meetings to students.
  • Conduct program evaluations and utilize data to improve future programs.

 

QUALIFICATIONS

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.
  • Possession of these knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience. One year in the program area to which assigned may be preferred but is not required.
  • A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

 

Thorough knowledge of the principles of individual and group behavior. General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures, and practices of the program area to which; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned. Working knowledge of student services programs outside the program to which immediately assigned. Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.

 

Preferred Qualifications

  • Masters degree and personal experience in long-term Study Abroad or exchange program during college attendance.
  • Demonstrated ability to speak publicly to small and large groups.
  • Experience working with Study Abroad programs.
  • Experience with Faculty-Led program development.
  • Knowledge of Study Abroad administrative policies, procedures, and practices.
  • Experience interpreting and applying program rules and regulations; taking initiative in planning assignments and assist with on grange program improvements.
  • Experience assessing and evaluating policies and procedures strategically and operationally.
  • Ability to analyze complex situations and advise students individually and in groups.
  • General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interact effectively in a multi-cultural environment and interact well with a diverse student population.
  • Excellent interpersonal and communication skills. Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts

CSU Classification Salary Range

This position is part of the APC bargaining unit. The CSU Salary Schedule is located on the following site: https://www.calstate.edu/csu-system/careers/compensation/Pages/salary-schedule-documents.aspx. The classification salary range for this position according to the respective skill level is: minimum $5,025 and maximum $7,159 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.
