Description
The Associated Students of CSU, Chico is recruiting for Student Programs and Events Coordinator. This is a full-time, full-year, non-exempt position. The pay range for this position is $21.00 to $25.00/hr; new hires typically start at the beginning of the range. The anticipated schedule is typically Monday through Friday, 40 hours per week with some nights and weekends depending on the events schedule. The schedule is subject to change based on operational needs.
Associated Students offers excellent benefits to include medical, dental and vision insurance with a generous employer contribution toward the cost. Basic life, AD&D, and long term disability are fully employer paid. Retirement is offered through CalPERS. An employee contribution to this defined benefit plan is required in addition to a significant employer contribution.
The Associated Students (AS) is a comprehensive campus auxiliary corporation of CSU,Chico serving thousands of students, faculty, staff and community members through myriad Student Programs, services and business enterprises. With an annual budget of more than $21M, the AS operates residential and retail dining services, the Bell Memorial Union, the Wildcat Recreation Center (WREC), and administers the contract for the Wildcat Store (bookstore). Additionally, the AS offers a wide variety of services and programs such as: CAVE (Community Action Volunteers in Education), Child Development Lab, Adventure Outings, Sustainability and student government. Typically, the AS employs more than 100 full and part-time employees and more than 750 students.

STUDENT PROGRAMS AND EVENTS COORDINATOR
SUMMARY
Under general direction to develop, coordinate and implement diverse, dynamic and fiscally sound programs for the Associated Students including lectures, concerts, films, weekend programs, performance art, a range of leadership education programs, and cultural and special events. Certain duties and assignments are fluid and are periodically reviewed and revised based on program needs, program philosophy and staff development.
ESSENTIAL FUNCTIONS
  • Plan, develop, and implement diverse and dynamic student-centered programs that meet the needs of the campus community. Coordinate events on behalf of the Associated Students that highlight AS values and programs.
  • Manage student-led events to minimize risk as well as ensure quality of content and representation of the Associated Students mission and values.
  • Recruitment, train, supervise, and evaluate student employees. Assist in hiring selections for other department team members as needed.
  • Develop, implement, sustain, support, and evaluate Student Programs, centralized AS events, and activities throughout the year.
  • Serve as an Associated Students representative on campus-wide, collaborative programming initiatives such as Welcome Week and Choose Chico.
  • Establish and maintain daily communication through central channels, including project management systems, as it relates to all assigned events leading, supporting and/or coordinating.
  • Track student engagement and participation in programs. Organize data, maintain records, and prepare reports for stakeholder review.
  • Research and recommend program ideas. Negotiate with talent/agents.
  • Review and prepare contracts and evaluate event risks in partnership with the AS Risk Manager. Ensure appropriate insurance coverage and/or security is in place as required. Ensure compliance with University policies and procedures.
  • Ensure timely payment of contractors. Coordinate written evaluations and final close-outs of events.
  • Maintain inventory of all event supplies.
  • Attend program meetings and Events, assisting with on-site production of campus and AS events and leadership programs as needed.
  • Document and update procedures accordingly.
  • Develop and implement procedures for vendor contracts, check requests, and other fiscal items.
  • Coordinate in collaboration with AS Marketing to support advertising and publicity efforts for Programs and Events.
  • Meet regularly with AS conference services, other AS programmers, campus stakeholders, operations and student staff to ensure effective coordination and scheduling of events.
  • Other duties may be assigned.
POSITIONS DIRECTLY SUPERVISED
2 Student Programmers and 6-8 Student Ambassadors
TYPICAL WORKING CONDITIONS
Work is performed in an office and student union building environment; some work is conducted in an outdoor environment with exposure to wide variations in temperature and weather conditions; continuous contact with staff, campus community, and public. Night and weekend work hours will vary depending on program schedule.
TYPICAL PHYSICAL REQUIREMENTS

Stand and walk for extended periods; regularly lift weight up to 25 lbs; manual dexterity for use with standard office equipment and eye-hand coordination; verbal and written communication. Must be able to work a variety of hours in order to accommodate events.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS
  • Principles, practices, and procedures of student-centered programs, operations, and functions.
  • Principles of supervision, training, and performance evaluation.
  • Cultural, social, recreational, educational, and service objectives and needs of a university community.
  • Risk management best practices as they relate to event management.
  • Program budget management, fiscal controls, and accounting.
  • Computer systems and software applications related to event development, implementation, and administration.
  • Prepare and monitor individual program budgets and assessments.
  • Analyze Student Programs, developing effective procedures to achieve goals.
  • Organize data, maintain records, and prepare reports.
  • Develop and maintain effective working relationships with the campus community, general public, co-workers, stakeholders, and those contacted during the course of work.
  • Work well under pressure, meeting multiple and sometimes competing deadlines.
  • At all times demonstrate cooperative behavior with colleagues and supervisors.

MINIMUM EDUCATION and EXPERIENCE REQUIREMENTS
  • Bachelor's degree
  • One (1) year of full-time experience supervising staff.
  • Two (2) years of full-time experience in event coordination. One (1) year may be substituted with a Master's degree in Higher Education Administration, Student Development, Educational Leadership, Recreation Administration or equivalent, with emphasis in Student Affairs.
  • Knowledge of the policies, procedures and practices of student programming (concerts, lectures, film, leadership programs, etc.).

PREFERRED REQUIREMENTS
  • One (1) year full-time experience in student union or student activities operations/services involving the general knowledge of the principles, practices and trends of the Student Affairs field or equivalent.
SPECIAL REQUIREMENTS
  • Driving may be required, necessitating possession of or ability to obtain a current and valid California Driver's license with an acceptable driving record.
  • Satisfactory completion of a background check (including a criminal records check) is required for employment. Associated Students will make a conditional offer of employment which may be rescinded if the background check reveals any disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.
