How You Will Contribute

Oversee and manage a highly busy day-to-day schedule for all school groups, including guided and self-guided tours. Manage the Student Center Assistant team and direct the activity and staffing of the Student Center to ensure the smooth functioning of arrivals and departures as well lunches for student groups and camps.Support the Administrator of School Programs in scheduling and processing school group reservations and payments or processing guided and self guided school group tour requests and ensuring completion of invoicing and payments to the museum. Correspond with teachers about their school visit schedules and needs. Communicate school group schedule needs and logistics with the Education team and other staff in the museum.


Specifically, you will:

  • Hire and directly supervise all Student Center Assistants (typically 2-3). Oversee the quality of work and provide strategic direction and ongoing feedback on their performance to promote positive and responsive engagements with students and teachers during their visits and to ensure daily tasks and assignments are accomplished.
  • Coordinate and ensure the smooth functioning of the Student Center including greeting all groups and ensure smooth flow of school groups' visits: bus arrival/departures, lessons, lunches, self-touring.
  • Create and execute daily assignment schedule to ensure Student Center Assistants are posted where they are needed on a daily basis.
  • Communicate with teachers, chaperones, and students to enforce museum guidelines and policies.
  • Oversee the quality of work of the Student Center Assistants to ensure all work tasks and assignments are performed as required and to ensure daily tasks are accomplished in a timely manner (including phone reminders to schools and organization of buttons and chaperone stickers etc.) and that Student Center reception area and lunchroom are maintained.
  • Ensure that Student Center Assistants are well-informed and able to provide information about the museum to visiting school groups and camps.
  • Make reminder/confirmation calls to teachers about their upcoming visit.
  • Copy and distribute weekly schedule to School and Teacher Program, Visitors Services, and Security staff.
  • Troubleshoot logistical issues, payment issues day of visit. (Includes strategizing coat rack usage and stools usage and distribution for the day).
  • Provide training and supervision to Student Center Assistants on day-to-day activities; offer the Assistants strategic direction, mentorship, and ongoing feedback to ensure performance goals are met.
  • Coordinate with VSAs, Security, C-Tech, Construction, Constellation, Educators, and Guides to discuss logistics and send daily schedule of school group visits as well as educator tour routes throughout building prior and during group's visit, including groups' needs (accessibility concerns, parking chasers, teacher requests, etc.)
  • Work with Administrator of School Programs to:
    • Take school group reservations by phone or via emails.
    • Enter bookings into museum reservation system.
    • Generate and mail school visit confirmations.
    • Create financial reports for various accounts.
    • Send reminder bills to schools.
    • Follow up school group communication to thank them for visiting and distribute post visit survey.
    • Distribute teacher survey results to museum educators.
    • Maintain school and teacher mailing lists.
    • Help with mailing materials and guide schedules.
  • Perform other duties as assigned.


Your background and experience include:

  • Excellent customer service skills especially during heavy peak times during the school year; prior customer service experience required.
  • Ability to communicate effectively with other museum staff and the general public
  • Friendly and courteous demeanor
  • Ability to lead and organize a team
  • Ability to work in a busy atmosphere and work across museum departments.
  • Excellent organizational skills and a natural self-starter with the ability to plan ahead and self- problem solve
  • Proficient knowledge of Microsoft Office suite and Google Suite for work with schools
  • Proficient computer skills
  • Experience with reservation software a plus


Position and Compensation Details

  • The minimum salary for this position is $19.23/hour.
  • This position is full-time, non-exempt, and 35 hours per week.
  • This position reports to the Manager of School Visits.
  • This position is a term position.
  • Physical requirements:
    • Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus
    • Able to regularly set up, adjust, and operate a computer/keyboard and other office equipment used to generate work/transmit data
    • Able to move items up to 50 pounds
    • Able to move through crowded public spaces easily for hours at a time to direct student groups throughout the building
  • COVID-19 vaccination required.
  • Background check required after a conditional job offer is made. Consideration of the background check will be tailored to the requirements of the job.
  • PA Child Abuse Clearance and FBI Fingerprinting required.
