Core Responsibilities:
Accounts Payable
- Review all invoices for appropriate documentation and approval prior to payment
- Process vendor invoices and payments, including international invoices and payments
- Process check requests
- Process credit card bills
- Process and post PayPal payments and wire transfers, researching with bank as needed
- Prepare expense reconciliations for completed projects
- Match invoices to checks, obtain all signatures for checks, and distribute checks accordingly
- Maintain and perform annual 1099 reporting
- Set up new vendors, adhering to vendor and bank screening policies
- Manage vendor W9s
- Respond to all vendor inquiries
- Reconcile vendor statements, research, and correct discrepancies
- Review employee expense reports for receipts, proper coding, and signatures
- Maintain files and documentation thoroughly and accurately, in accordance with company policies
- Assist with other projects as needed
- Prepare tax returns for Controller review:
- Unclaimed property management and reporting
- Use tax returns
- Property tax returns
Collections
- Deposit customer checks
- Record customer payments
- Communicate with clients regarding payments
- Reconcile bank accounts
- Complete fixed asset reconciliation and ledger entries
- Manage prepaid accounts and reconciliations
- Manage credit card, AP and expense report accruals
- Assist with other month-end close activities as required
- Follow-up with staff on overdue timesheets
- Prepare and review monthly time report
- Assist with statutory audit requests, as needed
- Answer staff questions regarding time and expense system
- Train new staff to enter time and expenses into system
Required
- Accounting degree required
- Knowledge of basic accounting principles
- Ability to work in a fast-paced environment and manage multiple tasks without compromising quality of work
- Exceptional attention to detail, logical thinking, critical thinking, problem solving, and organizational skills
- Strong documentation and research skills
- Excellent verbal and written communication skills
- High level of professionalism and awareness of the need for confidentiality
- Experience with Microsoft Excel and Word required
- Must live in the Boston area and work in the Newton office on Tuesdays plus either Wednesdays or Thursdays
- 2+ years of accounting experience
- Experience with NetSuite and/or OpenAir a plus
