Position Title:Staff Accountant

The National Archives Foundation (NAF), is seeking a Staff Accountant.
As the nonprofit partner of the National Archives and Records Administration (NARA), NAF generates financial and creative support and public awareness for exhibitions, public programs, capital projects, strategic partnerships and civic and educational initiatives. NAF advances its mission by inspiring a deeper appreciation of our country’s heritage and encouraging citizen engagement in our democracy by introducing America’s records to people around the U.S. and the world.
NAF partnerships with the NARA have produced numerous achievements over the years including renovating the Rotunda where the Charters of Freedom are on view, the creation of the Public Vaults permanent exhibition space, development of the DocsTeach.org education resource, and the David M. Rubenstein Gallery with the “Records of Rights'' permanent exhibition.
In addition, NAF has supported many notable special exhibitions and public programs. The annual Gala is a highlight of the year bringing together influential figures from business, society, and government to recognize an individual whose work has fostered a broader national awareness of the history and identity of the United States through the use of original records. The NAF is currently engaged in a capital campaign that will increase support for new civic and educational programming and will develop and build a new highly interactive state of the art, interactive multi-million-dollar permanent exhibition at the National Archives Museum in Washington DC.

Scope & Responsibilities
This is a full time hybrid position and will support the efforts of the Foundation’s Finance Department. This position reports to the Finance Director and is responsible for recording daily financial transactions, updating the general ledger, and preparing trial balances and account reconciliations. This role will also serve as an internal and external liaison between Foundation departments and the Foundation’s Vendors.
Specific duties include but are not limited to:
- Support the Finance Director with the overall management of the NAF General Ledger
- Maintain daily control of the Accounts Payable process, including entering invoices, getting approvals, vendor management,
- Manage regular accounting system updates.
- Assist with database management and evaluation of the accounting systems.
- Assist with the reconciliation of General Ledger Accounts and with weekly payments, and reconciling revenue and expenses.
- Assist the Finance Director with the Month-end and year-end close process.
- Assist with external FS Audit, 990 preparation and issuing 1099’s.
- Assisting with financial activities such as running payroll and generating invoices
- Participate with in-person budget to actual meetings with budget managers as assigned
- Make regular in-person weekly check deposits to NAF financial institutions in Washington, DC
- As assigned, disburse mailed in health cards, HSA, FSA and medical cards to staff
- Assist NAF staff with 401 (K) or health insurance account information- answering questions, updating accounts etc
- Advising management on departmental needs
- Follow all office protocols including in-office hours as assigned.
- As assigned, assist with tours and events including learning about the documents and building so proficient for tours
- Other duties as assigned
Qualifications:
- Bachelor’s degree in Accounting or Finance or related discipline
- 3+ years experience as a bookkeeper/Staff Accountant
- Experience with Sage 50 accounting system and Bill.com
- Comfortable in deadline-driven responsibilities with the capacity to handle multiple projects at one time
- Ability to work well in a team environment and comfortable working with partners, vendors, donors, organization leadership and displaying a positive and collegial working style
- Ability to attend required all-staff events
