Description:

The Sr.Operations Assistant (SOA) at TA Digital reports to the Chief of Staff (CoS) providing operational and administrative support to the executive team of an IT Services Agency.

The SOA's responsibilities include scheduling appointments, managing calendars, making travel arrangements, generating reports, maintaining document repository, and coordinating senior-level activities. To be successful in this role, you should be well-organized, have great time management skills and able to act with minimal guidance.

Ultimately, you will contribute to the efficiency of our operations by providing personalized and timely support to executive members.

Responsibilities:

Operations:

  • Conduct research activities online/offline as requested by the CoS and/or executive team.
  • Organize and maintain a repository of key documents and artifacts.
  • Collaborate with the CoS on stakeholder presentations.
  • Assist the CoS with project administration activities, i.e. scheduling meetings, taking notes during meetings, updating project timelines, managing / sharing relevant project documentation, etc.
  • Perform office tasks including maintaining records and performing basic bookkeeping, as requested or needed.
  • Create and review reports, as requested by executive leadership and or the company's finance team.
  • Perform additional duties as assigned by executives, HR or Finance team.
  • Understand formal escalation and review processes.
  • Maintain professionalism and confidentiality with all materials.

Executive Office:

  • Act as the point of contact among executives, employees, clients and other external partners.
  • Manage professional and personal scheduling for the CEO, including agendas, mail, email, phone calls, and other company logistics, as requested by the CEO.
  • Organize and schedule meetings on behalf of the CEO and executives, take notes and record meeting minutes as necessary.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to the CEO and executives.
  • Arrange and travel logistics and related activities, including accommodations, transportations, meals and expense reports.

Requirements:

  • Bachelor's Degree (preferred), PA Diploma / Specialized Certification (Plus), or 5+ years of progressive operations / administrative assistant work experience required without a degree.
  • Two or more years of experience as an Operations Assistant / administrator role reporting directly to upper management; preferable 1 or more years with executive support responsibilities.
  • One or more years of experience within an IT / Software / Technology related services industry.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and record-keeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Compensation:

The salary range listed is for informational purposes. TA Digital treats all applicants as individuals taking into consideration but not limited to their professional and academic experience, specialized training, certifications and associated responsibilities as it relates to our specific industry. The salary range listed is just one component of our total compensation package including benefits for each unique employee.

Benefits: Health, Dental, Vision, AD&D Insurance, Vacation / PTO / Holiday pay plus matching 401K, Tuition & Travel Expense Reimbursement as needed

Bonus: This position is not eligible for a variable compensation element.

Anticipated Salary
$60,000—$70,000 USD
