Position Description

Special Assistant to the Chief Operating Officer Position Overview:
Harris County Precinct 4 seeks a Special Assistant to the Chief Operating Officer ("COO").
The Operations division is the hard-working group that oversees all of Precinct 4's parks, community centers, programming, events, logistics, facilities maintenance, and information technology needs.
The Special Assistant will play a pivotal role in providing top-tier administrative support and assistance to the Operations division to help ensure the department is running smoothly and the team has the support required to effectively manage the precinct's many objectives.
Job Duties and Responsibilities:
  • Administrative Support:
    • Collaborate closely with the COO and Operations department directors to provide administrative support for all departments within the Operations division. Provide technical and operational oversight of the various administrative support personnel within the Operations Division.
  • Budget Tracking:
    • Monitor spending and keep the division within its set budget. Prepare reports and estimate future financial needs for all departments in the Operations division.
  • Administrative Policy Manual:
    • Maintain the Administrative Policy Manual for the precinct. Coordinate with other departments and divisions to identify existing policies, assist in drafting new policies, and maintaining the overall manual for the precinct.
  • Logistics Coordination:
    • Oversee the precinct's ordering and supply of uniforms and related equipment. Issue access badges and alarm codes to new and existing precinct employees.
  • Special Projects:
    • Support and participate in special projects as assigned.
  • Other duties may be assigned.

Requirements
Education:
  • Bachelor's Degree from an accredited college or university.

Experience:
  • Five (5) years of experience working in an office environment.
  • Five (5) years of experience in finance, budget, or accounting.
  • One (1) year of experience supporting an A-level Executive.

Licensure:
  • Valid Texas driver's license with a good driving record.

Knowledge, Skills and Abilities:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
  • Excellent interpersonal, communication, verbal, listening, and written communications skills.
  • Self-motivated and problem-solving skills.
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment.
  • Ability to work well with the public and all levels of staff members.
  • Excellent time management, multitasking, and data entry proficiency.
  • Demonstrated capability to plan and prioritize tasks effectively.
  • Good planning and organizational skills.
  • Ability to adapt to changes in day-to-day assignments in a fast-paced environment with a positive attitude.
