JOB DESCRIPTION OVERVIEW:
The Site Coordinator (SC) Supervisor plans, organizes, directs, monitors, and supervises the daily workflow of the THHM Site Coordinators located both on and offsite. The SC supervisor ensures that the BasePointe billing office receives batches of charts according to established timelines. During staffing shortages and when a backlog is created, the S.C. Supervisor must facilitate production for their direct reports to ensure monthly close targets are met.
The SC Supervisor ensures that missing and incomplete records at each hospital are retrieved according to established standards. TO ENSURE AN EFFECTIVE WORKFLOW, the S.C. Supervisor develops and maintains positive working relationships with hospital administration, medical records directors, nurse managers, I.T., and facility medical directors. Additionally, feedback on incomplete or missing record trends will be provided to the SC Director, Facility Medical Directors, VP of Client Services, Regional Medical Director, and Documentation Specialists, consistently following the chain of command as needed to escalate issues.
The Site Coordinator Supervisor will be responsible for new contract start-up meetings and complete Site Coordinator training, including the complete daily batching processes, IMBills training and monitoring, core measure tracking, incentive tracking, performance tracking, MRTS, monitoring of the DMS (Denials Management System) and GMS (Goals Management System), and site audits as required by TeamHealth. In addition to the IMBIlls provider training for any new contracts or providers new to TeamHealth, they will retrain as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Recruit, interview, and hire candidates to fill Site Coordinator vacancies at offsite locations.
- Ensures that workflow processes at each hospital conform to daily batching requirements as outlined in the Site Coordinator manual.
- Approves staff requests for PTO when appropriate based on staffing needs.
- Maintains discipline for Site Coordinator staff by establishing policies and initiating disciplinary action when necessary.
- Provides training to new and existing staff about batching, record retrieval functions, and IMBills.
- Provides IMBills training to new or existing providers as needed.
- Prepares weekly/monthly departmental progress reports, including workflow, trends received by the hospital, number of days from dates of service that batches are received, number of missing records for those dates of service, and number of missing records retrieved by the hospital.
- Ensures the accuracy of batch work and reports prepared and distributed to management.
- Conducts quarterly batch review audits for each facility and, as needed, for measuring Site Coordinator accuracy.
- Performs quarterly unbillable reviews for each facility and promptly obtains and provides errors to billing.
- Collects, maintains, and distributes monthly site dashboard reports, facility core measure data, and facility HCAHPS data.
- Facilitates timely communication with the Site Coordinator Director concerning issues and/or problems identified by batches during their work.
- Plans Site Coordinator department staffing needs in compliance with annual department budget amounts.
- Completes needed chart flow process when short-staffed to ensure monthly closes.
- Assumes other tasks, duties, and responsibilities as assigned by the Director.
