Job description

The Showing Coordinator is responsible for answering incoming calls, scheduling appointments, contacting all associated parties, and recording them in Showing Smart. Must be familiar with all MTSIR listing inventory and able to accompany showings when required. Must maintain reliable transportation, valid driver's license and mobile phone.

The position requires a personable, team-oriented and professional disposition as well as a high level of verbal communication skills. Must be able to clearly and accurately explain detailed instructions to caller. Must be able to multi-task, simultaneously using software while communicating to caller.

Must be poised and professional at all times and have professional appearance. Job Responsibilities: Answer incoming calls to set, reschedule or cancel appointments by contacting all parties involved to include, but not limited to, buyer's agents, listing agents, agent assistants, homeowners, builders, home-tenders, tenants, estate executors, maids/housekeepers, nanny/caregivers, concierge, guards. Pay close attention to specific handling instructions for each listing.

Work assigned weekends, as scheduled by the Showing Manager to act as the "Anchor", providing guidance and direction to the Showing Assistants. Address situations that may arise such as improper execution of showing instructions (alarms, gates, pets, locks, etc) and report to listing agent in a timely manner. Act as liaison between homeowners and listing agent when requested.

Accompany prospective buyers and their agent through a MTSIR inventory property when needed, paying careful attention to showing instructions. Continuously gain knowledge of current listing inventory by attending property previews, watching virtual tours or reviewing property literature. Attend weekly sales meeting.

Input new listings and showing instructions into Showing Smart, perform Prime/Back-up notification calls, check department emails, check department phone messages, record appointment counts, call for early appointments, take out trash, prepare and distribute "Daily Showings Report", transfer calls at time of close to last Prime agent. Be available to MTSIR agents for emergency requests which may include, but not limited to, accessing MLS info, locating phone numbers, delivering keys, accessing feedback info, reporting showing frequency of listings, etc. Other duties assigned by Showing Manager or MTSIR Management Team to assist in the operation of the office / department.

Must maintain active Texas real estate license. Excellent verbal communication skills and attention to detail. Familiar with HAR MLS.
