Championship Shows Coordinator
The American Quarter Horse Association (AQHA) prides ourselves on how well we care for our members and business partners around the world. Our Show department is the face of AQHA, and we rely on their team members to support our external mission. Our show department is looking for a Championship Shows Coordinator.
Position Summary:
Works directly with the Director of Championship Shows and staff to oversee the administrative functions of AQHA-produced horse shows. The Championship Shows Coordinator will assist in the planning and successful execution of AQHA championship events, including, but not limited to data gathering for timely and accurate reports, event-coordination activities, and customer service related functions for show attendees. Responsible for the delivery of quality administrative services and support relating to successful horse show production, including data management, advertising, education, and accurate, timely information dissemination. Duties will include verifying data and preparing show materials to help ensure the sustained success of AQHA’s Championship Shows program. Travel is required to AQHA shows and events.
What are we looking for:
  • Detail Oriented, problem solver with effective communication skills
  • Ability to manage several different projects at the same time.
  • Intermediate to advanced experience with Microsoft Office applications.
  • Website management experience preferred.
  • Ability to travel to shows and events.
  • Equine industry and horse show experience preferred.
Responsibilities:
  • Event coordination activities as it relates to Championship Shows, including but not limited to catering planning, décor planning, signage, contract staff planning, and other general event activities as assigned.
  • Prepare professional level documents and information relating to horse shows sponsored by the AQHA.
  • Updating AQHA website with pertinent departmental information and documentation.
  • Assisting in management of contracts and payment reconciliation for contracted show staff.
  • Travel coordination for staff and contracted staff traveling to events.
  • Financial auditing of invoices for show-related activities.
  • Coordination of award ordering and award inventory management for championship show events.
  • Show-related support for exhibitor and sponsor sales activities.
  • Data gathering, compilation, and accurate reporting as it relates to championship events.
  • Communicate and coordinate information and activities between show department team members and outside vendors.
  • Participate with a team of professionals committed to producing quality horse show experiences.
  • Travel to shows and events, as needed.
  • Provide quality customer service to exhibitors and show sponsors as it relates to show activities.
  • Store and manage show related documentation.
  • Maintain logs of activities and completed work.
  • Select materials needed to complete work assignments.
  • Other duties as assigned to advance show department functions in service of the association.
Details
  • Full time position available
  • Monday – Friday, 8am – 5 pm
  • This position is on-site only at our headquarters in Amarillo, Texas.
