Shared Services Administrative Assistant

Summary
We are seeking an experienced administrative resource who will report to the VP of Information Technology/CIO. The ideal candidate will be flexible, accountable, responsive, and willing to step outside their lane to figure something out. They should have excellent problem-solving skills, initiative, and a very customer-centric outlook.
Principle Responsibilities & Key Results

• Keep accurate records and data for monitoring progress.
• Schedule group meetings
• Create POs and IRs for all Shared Services.
• Reconcile PO’s vs invoicing.
• Access Tipalti to see bill statuses and identify who does what next.
• Interface with AP staff.
• Manage invoices from vendors, matching each to PO’s they go towards for all Shared Services.
• Assist with travel and expense reports for shared service employees.
• Help with documentation of standards, processes, training, etc.

Ideal Qualifications

• 3+ years of experience in an administrative role
• Excellent communication and interpersonal skills
• Strong organizational and time-management skills
• Ability to work independently and as part of a team.
• Proficient in Microsoft Office Suite

Preferred

• Bachelor’s degree in business administration or related field
• Experience with enterprise applications
• Experience with travel and expense management
• Experience with financial management
