Position Summary:
Vallejo Nissan is seeking a customer-oriented and organized Service Department Receptionist to join our team. The ideal candidate will be the first point of contact for customers visiting our dealership for vehicle maintenance and repair services. The Service Department Receptionist will assist in scheduling appointments, greeting customers, managing phone calls, and ensuring efficient communication between customers and service advisors. This role requires excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment.
Responsibilities:
1. Greet customers in a friendly and professional manner upon arrival at the service department.
2. Answer incoming phone calls and direct them to the appropriate department or individual.
3. Schedule service appointments for customers using dealership software and maintain an organized appointment calendar.
4. Provide accurate information to customers regarding service offerings, pricing, and estimated wait times.
5. Assist service advisors with administrative tasks, such as filing paperwork, updating customer records, and preparing service invoices.
6. Ensure the reception area is clean, organized, and well-maintained at all times.
7. Handle customer inquiries and resolve any issues or concerns in a timely and professional manner.
8. Collaborate with service technicians and parts department staff to coordinate vehicle repairs and parts orders.
9. Follow dealership policies and procedures regarding customer interactions, confidentiality, and safety protocols.
10. Continuously seek opportunities to improve customer service processes and enhance the overall customer experience.
Qualifications:
1. High school diploma or equivalent.
2. Previous experience in a customer service or receptionist role, preferably in an automotive dealership setting.
3. Excellent verbal and written communication skills.
4. Strong organizational and multitasking abilities.
5. Proficiency in using computers and dealership management software.
6. Ability to work effectively in a team environment and independently with minimal supervision.
7. Attention to detail and a commitment to providing exceptional customer service.
8. Flexibility to work weekends and evenings as needed.
