Position Summary
The Staff Accountant is responsible for various accounting functions, including overseeing multiple grants, ensuring compliance and managing accounting systems to ensure accurate financial reporting of grant activities. Maintains thorough knowledge of accounting practices and Federal and State grantor cost principles. Completes billings, reporting, payroll allocations, budgets, audits, and other tasks as assigned for sponsored projects, ensuring compliance with requirements of federal, state and other sponsors. Works closely with other sponsored projects staff to ensure adequate internal controls, accuracy of the financial reporting systems and compliance with all regulatory agencies.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1. Performs grant-related post-award functions, including journal entries, budget and expense analysis, periodic invoicing, financial reporting, labor distributions/transfers, reconciliations, grant closeout and reconciliation functions, invoicing and re-budgeting. Reviews general ledger transactions to ensure accuracy. Ensures all expenditures are allowable, allocable and reasonable, and compliant with funder and MaineHealth policies.
2. Assists with time and effort reporting system, ensuring it is complete and in compliance with applicable regulations; maintains regular communications with department; communicates with fiscal contacts at funding source for problem resolution.
3. Supports the sponsored programs department in education and training of Principal Investigators and Program Managers; assesses needs and resolves issues related to grants accounting; performs analysis and support for departments.
4. Participates in on-going training and development in system wide general accounting practices, techniques, and policies. Maintains knowledge of financial regulations pertaining to Federal and State grants, as well as MaineHealth policies and procedures. Recommends and implements necessary changes in procedures.
5. Ensures the timely completion of monthly and annual financial closes with a high degree of accuracy. Performs monthly variance analysis, and assists with preparation of monthly Variance Reporting.
6. As requested, meets with Department Directors, Principal Investigators, and Program Managers to review activities.
7. Reviews and compiles monthly financial reports and to ensure that budget goals are met. Identifies and projects grant under or overspending and works with programmatic staff to identify solutions.
8. Assists with budget development for new awards, reviews budgets prior to grant submission to ensure that included costs are allowable, accurate and in compliance with MaineHealth policies. Maintains the current grant budget in the accounting system.
9. Researches outstanding receivables to ensure timely resolution and assists in collection of receivables.
10. Trains programmatic staff on proper coding of expenditures, financial policies and procedures and fiscal responsibility. Also assists in training new staff or other members within the system.
11. Assists with preparation of annual Single Audit, as well as external audits.12. Prepares and conducts equipment audit in accordance with federal regulations.
13. Assists Director, Senior Director, VP and Program Managers with other tasks or special projects, as assigned.

- Experience: 2-3 years of Accounting experience.
- Demonstration of integrity, maturity, dependability, stamina, tact, positive attitude, and enthusiasm in the performance of responsibilities.
- Interpersonal skills necessary to deal effectively with various hospital/practice personnel, third party payers, auditors and regulatory agencies.
- Knowledge of accounting principles and accounting systems to maintain general ledgers and journals and prepare related statements and reports.
- Analytical skills to collect pertinent information necessary to prepare, reconcile and analyze financial statements and reports.
- Ability to concentrate and pay close attention to detail when reviewing posting reports, bank statements and preparing detailed financial and statistical reports.
- Flexibility to deal with frequent interruptions.
- Knowledge and experience surrounding financial reporting requirements pertaining to Federal and State, and commercial grants.
- Knowledge and experience with mainframe and personal computers. Knowledge of Microsoft Office products and exposure to various computer systems utilized by the Medical C enter.
- Analytical skills to collect pertinent information necessary to prepare, reconcile, and analyze, financial statements and reports, within Maine Medical C enter and related organizations.
