Job Description
SUMMARY
Supports all aspects of the Quality Services project management and administration. Maintains various databases for Quality Services, including but not limited to Sharepoint, AuidtBoard, Smartsheet, etc. Executes client contracts, client proposals, and QS consultants' statements of work based on information provided by the manager and/or director. Supports other direct client functions of the department, including scheduling, billing, collections, and client survey management. Supports the coordination between other IIA departments as needed, e.g., Accounting, MCL, Marketing, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Executes the contracting process for engagement letters, consultant agreements, and/or contracts based on information provided by the QS Manager and/or Director. This includes managing the signature and execution process.
- Process external quality assessment consultant and volunteer confidentiality agreements and provide relevant team and client information to team leader and client.
- Excellent communication skills to be able to interact effectively with potential clients, QS consultants, and others.
- Supports the QS engagement process by maintaining databases and integrity of information relative to client information and contract data.
- Ability to generate fixed and ad hoc reports from QS applications.
- Maintains Quality Services systems, to ensure client, engagement and contractor information is correct across all platforms.
- Review, upload, and file final quality assessment reports into the QS report database.
- Support the coordination of client engagement surveys, proposals, and documentation preparation to support quality assessment engagement workflow as needed.
- Monitor, answer and/or distribute incoming communications as appropriate from Quality Mailbox.
- Organize and maintain share drives and assessment archives to ensure efficient access to information. Collaborate with various departments throughout The IIA on topics related to marketing, billing, invoicing and coordination for implementation of new products and promotions.
- Special projects as assigned by the QS Manager or Director.

Education and/or Experience
Bachelor’s degree or equivalent from accredited college or technical school; or five plus years related experience and/or training; or equivalent combination of education and experience. Experience with an international organization is an asset to any role within The IIA. Excellent communication and inter-personal skills.
Language Skills
The ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple business correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Multiple language skill is an asset to any role within The IIA.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
Intermediate or higher ability to work in a computerized environment with a working knowledge of most Microsoft Office products, Sharepoint, Smartsheet and as a bonus AuditBoard.
