The UW Department of Bioethics and Humanities has an outstanding opportunity for a full-time (100% FTE) Senior Program Manager.
POSITION PURPOSE
Under the general supervision of the department Administrator and in close collaboration with faculty program directors, the Senior Program Manager manages all undergraduate, graduate, and professional educational programs within the department. The Senior Program Manager will work with the department's Faculty Directors for the Graduate program, the Undergraduate Minor program, the Certificate Program, and all Continuing Medical Education courses and events. Together with the faculty directors, the Senior Program Manager will coordinate the implementation of curricula, course offerings, and student enrollment for all programs, and also serve in an academic advisory role to our degree students. In doing so, the Senior Program Manager establishes and maintains positive, ethical, and professional working relationships with faculty, staff, students, and community members from a wide variety of backgrounds-including members of racial, ethnic, and sexual minority populations-and is respectful of individual and cultural differences.
DUTIES AND RESPONSIBILITIES
Academic Programs Management (60%)
Serve as the Graduate Program Advisor for the Graduate program, the Academic Advisor for the Undergraduate Minor program, and the overall Program Manager for both.

  • Assist the faculty directors in successful implementation of each program's strategic goals, including the development of curricula, global promotion of programs, and maintaining policies to ensure both excellence and compliance for all academic and professional education programs.
  • Facilitate quarterly Curriculum Committee meetings and record meeting minutes.
  • Maintain the bi-annual and five-year departmental teaching schedule and ensure accurate updates to courses in the UW Time Schedule.
  • For joint departmental courses, work closely with other departments' academic advising staff to ensure the success of joint courses.
  • Work with individual faculty course instructors to finalize logistics and materials in advance of each quarter, including the Canvas course website and communications/promotion.
  • Independently manage the admissions processes for each program, including coordination of acceptance, faculty advising, course registration, and financial matters (tuition, fees, waivers, scholarships, awards, etc.).
  • Advise, counsel, and monitor graduate students on requirements to complete their program.
  • For academic courses, facilitate the "Add codes (Entry codes)" and "Drop codes" process and track student enrollment.
  • Ensure the accuracy and completeness of course files and evaluations.
  • Support all aspects of the Educational Program Review required by the UW Graduate School and related programmatic reviews.
    Program Management for the Advanced Training in Healthcare Ethics Certificate program (20%)
  • Along with the faculty director, lead successful implementation of the program's strategic goals, including the development of curricula, global promotion, and maintaining policies to ensure both excellence and compliance for professional education programs.
  • Attend and provide programmatic updates at quarterly Curriculum Committee meetings.
  • Work with individual faculty course instructors to finalize logistics and materials in advance of each quarter, including the Canvas course website and communications/promotion.
  • Independently manage the admissions process, including coordination of applicant reviews, acceptance, registration, and financial matters (tuition, fees, waivers, scholarships, awards, etc.).
  • Advise, counsel, and monitor professional students on requirements to complete their program.
  • Ensure the accuracy and completeness of course files and evaluations.
  • Ensure the program's CME accreditation remains valid amidst potentially changing annual requirements.
    Program Manager for the Summer Seminar in Healthcare Ethics program (10%)
  • Along with the faculty director, lead a successful annual CME professional multi-day training program, in an online, hybrid, or in-residence environment, with both synchronous and asynchronous components.
  • Oversee annual programmatic planning, including CME accreditation, speaker management, room reservations, event promotions, broadcasting and recording, and attendance tracking for CME purposes.
  • Develop the annual seminar course website and lead communications/promotion.
  • Lead annual scholarship communications, review applications, and process awards.
  • Manage logistics for and host the annual multi-day training program.
  • Ensure the program's CME accreditation remains valid amidst potentially changing annual requirements.
    Other CME-accredited event coordination (10%)
    Assist the UW Faculty Program Directors and UW Office of Continuing Medical Education to carry out CME-based educational programs and events such as the Summer Seminar in Healthcare Ethics, Bioethics Grand Rounds, and Bodemer lectureship events.
  • Serve as departmental communications contact for CME courses and events, including timely creation and distribution of communications about CME requirements, events, and responses to trainee inquiries.
  • Coordinate and ensure completion of annual CME application requirements.
  • Coordinate logistics for all department-run CME events such as Bioethics Grand Rounds, including speaker management, room reservations, event promotions (social media, print, website), broadcasting and recording, and attendee check-in.
    MINIMUM REQUIREMENTS
  • Bachelor's degree and three years of experience working with students in an advisory capacity.
  • Prior program management experience in an educational setting education or related field
  • Excellent customer service and interpersonal communication skills including experience working with individuals from diverse backgrounds.
  • Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Apps (Drive, Docs, Sheets), and web-based technologies, and an ability to integrate these technologies into educational and student-support environments.
  • Ability to resolve conflicts and differences through dialog and open communication promptly. Sees every difference as an opportunity for growth and change.
  • Poised, professional manner and the ability to communicate clearly, directly, and empathetically in all interactions: verbal and written communications, one-on-one conversations in groups, etc.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    DESIRED QUALIFICATIONS
  • Knowledge of the field of education as a discipline of study.
  • Familiarity with undergraduate and/or graduate student policies and procedures of the University of Washington and/or the UW School of Medicine.
  • Graduate degree in higher education, counseling, student affairs, public administration, or a related field of study.
  • Educational, data management, and meeting management programs such as Canvas, Redcap, and Zoom.
  • Experience as an academic adviser working with diverse populations.
  • Experience working in a complex academic healthcare institution.
