Senior Payroll Specialist or Payroll Manager
New York, NY (hybrid in-office and remote) | People Operations
A bit about you
You have impeccable attention to detail, strong problem-solving skills, and a knack for process improvement. You are an expert at ADP Workforce Now and have experience supporting an employee population dispersed across many states. You consistently meet assigned due dates, even those with quick turnaround times. This role reports to the Associate Director, People Operations.
You will:
  • Fully own the payroll function, including payroll processing, reporting, compliance, optimization, and employee support.
  • Process timely end-to-end semi-monthly payroll for 240+ US employees located in 30+ states.
  • Support payroll administration for 10+ Canada employees by sharing data changes with our Canadian payroll vendor.
  • Maintain a clear and accurate record of changes for each pay cycle, enter data in batches, check for errors in pre-payroll reports, and correct errors prior to submitting to the secondary approver. Ensure appropriate documentation and backup is in place for each pay cycle.
  • Generate post-payroll reports for the US and Canada and send to Accounting no later than each check date.
  • Complete month-end, quarter-end, and year-end reports and reconciliations as needed.
  • Develop and enforce payroll policies and procedures to ensure proper internal controls and efficient processes.
  • Create and maintain process documentation for all payroll-related processes.
  • Respond to all employee and stakeholder inquiries within 48 hours in line with GroundTruth's internal service level agreement. Resolve all inquiries, working with ADP and internal stakeholders for resolution where necessary. Ensure the highest standard of payroll services and partnership.
  • Ensure full compliance with federal, state, local, and legal reporting requirements for payroll and advise leadership when action is needed.
  • Research and resolve any tax authority inquiries to ensure that all regulatory requirements are monitored and are being met.
  • Manage and support payroll audits from other agencies.

Process workers' compensation and unemployment claims.
  • Maintain employee records in our HRIS by updating working status, tax withholdings and exemptions, garnishments, insurance coverage, benefit deductions, and dependents.
  • Calculate and process salary increases, retroactive payments, and termination payments.
  • Fund 401k plans after each payroll; review and reconcile 401K contributions, deferrals, and loan repayments.
  • Report on records and accruals for paid time off and leaves of absence.
  • Provide technical support and advice regarding the company's current payroll systems; ensure proper maintenance and availability of the systems.
  • Prepare reports for CFO, department managers, and others as needed.
  • Provide administrative and/or consultative support to Accounting, HR, and other departments.
  • Other duties as necessary: Responsible for processing amendments for W2 and setting up new states as payroll operating states.

You have:
  • 5+ years of experience processing multi-state payroll.
  • Have experience supporting an employee population dispersed across many states, including the New York tri-state area and California.
  • Extensive working knowledge of ADP Workforce Now and ability to troubleshoot when needed.
  • Extensive understanding of payroll processes, procedures, and best practices.
  • Extensive knowledge of federal, state, and local employment law and payroll tax regulations.
  • Impeccable attention to detail with an aptitude for numbers, calculations, and data entry.
  • Strong prioritization skills and the ability to carry out multiple projects with tight deadlines.
  • Excellent communication and interpersonal skills.
  • Excellent ability to actively partner and collaborate with both team members and key stakeholders.
  • Ability to maintain strict confidentiality and exercise sound judgment in what information is shared and with whom.

The base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors. Our compensation package also includes a comprehensive benefits platform offering and a company bonus. The salary range for this position is listed below.
Salary Range
$100,000 - $120,000 USD
