In collaboration with various Executive and Director level players, the Maintenance Manager is responsible for leading the efforts on improving maintenance performance within the region, including the maintenance of heavy, medium, and light duty diesel trucks, farm equipment, forklifts and trailers and other equipment to ensure safe and efficient operations. Essential Functions

  1. Assist in creating and implementing SOPs and maintenance standards.
  2. Understand, keep abreast of, and comply with federal, state, and local regulations that affect service operations, such as hazardous waste disposal, OSHA and EPA.
  3. Understand and ensure compliance with manufacturer warranty and policy procedures.
  4. Coordinate needed equipment repairs between shops.
  5. Ensuring accurate documentation and maintenance tracking
  6. Follows all company safety policies and procedures.
  7. Negotiate repair costs and approve repair expenses up to an authorized limit; secure rental vehicles when required.
  8. Align repair costs with potential warranty coverage; communicate additional warranty needs to management.
  9. Follow up on completed maintenance and repairs to ensure all service issues are resolved, vendor invoices are received, and repair/inspection documentation is obtained and filed.
  10. Provide guidance, training and supervision of Shop Managers on maintenance standards and best practices.
  11. Conduct regular inspections of maintenance shops, including working with the locations’ leadership to develop their improvement action plan.
  12. Monitor locations’ progress to annual action plans over the course of the year.
  13. Collaborates with various areas of maintenance operations and planning to understand issues related to fleet budgets.
  14. Responsible for adherence to department budgets
  15. Assist in equipment purchase requirements/CAPEX requirements.
  16. Review regular and preventive maintenance records of each sites assigned vehicles and equipment.
  17. Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various vehicles and pieces of equipment.
  18. Performs other related duties as assigned.

Competencies

  • Extensive knowledge of current company safety policies and applicable Occupational Safety and Health Administration (OSHA) standards.
  • In-depth knowledge of preventive maintenance procedures and schedules.
  • Extensive knowledge of budgeting, forecasting, and cost control processes.
  • Excellent organizational skills and attention to detail.
  • Excellent time management and strategic planning skills with a proven ability to meet deadlines.

Supervisory Responsibility:

This is a managerial role which plays a crucial role in overseeing and leading a team of maintenance technicians and support staff. The supervisory aspect of the role involves several key responsibilities and expectations including task delegation, workflow management, resource allocation, safety oversight, and decision making. Must demonstrate strong self-management skills.

Work Environment

The work environment for a Fleet Equipment Maintenance Manager is a blend of office-based responsibilities, on-site presence in maintenance facilities, and collaboration with various stakeholders to ensure the optimal performance and reliability of the fleet. This role routinely uses standard office equipment such as computers, phones, photocopiers, and e-filing systems. The employee will be expected to work outside in all weather conditions and must have suitable clothing. They must have the ability and willingness to work in adverse conditions, not just in extreme weather but enclosed spaces. The employee will be expected to work around and with machinery that distributes loud noises and exhaust. Personal Protective gear is provided by the employer. This position does require handling and operating of heavy equipment which may introduce a high risk to slips, trips and falls.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the Fleet Maintenance Managers may need to walk or stand for extended periods while inspecting fleet vehicles and equipment in maintenance facilities or at various locations. Depending on the type of equipment, climbing on and around vehicles may be necessary for thorough inspections. In emergency situations or unexpected breakdowns, Fleet Maintenance Managers may need to respond quickly to assess the situation. This could involve brisk movement and physical agility. This employee is regularly required to talk and hear. While there are physical demands associated with the role, a significant portion of a Fleet Maintenance Manager's responsibilities is managerial, strategic, and administrative. The physical demands are often part of ensuring the safety, reliability, and efficiency of the fleet and are typically managed through effective delegation and coordination with the maintenance team. Additionally, adherence to safety protocols and regulations is paramount to minimize physical risks.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours can change at the discretion of the Executive VP; though typical hours of work are Monday through Friday, 8 a.m. to 5 p.m. Some weekend hours will be necessary to accommodate any issues that may arise.

Travel

This position requires up to 70% travel time.

Required Education and Experience

  • Vocational/Technical certification in mechanical engineering, automotive technology, fleet management, or a related field required.
  • Experience in transportation logistics, fleet maintenance or related field, demonstrating progressively increasing levels of responsibility.
  • Technical knowledge/training in various types of fleet equipment, including trucks, vehicles, and specialized machinery required.
  • Prior experience in fleet maintenance management required.
  • Experience in CMMS software
  • Must be 19 years of age or older.
  • Pre-employment background check and drug screening required.

Preferred Education and Experience

  • Experience with warranty claim filing and working with original equipment manufacturers preferred.
  • Bilingual (English-Spanish) skills strongly preferred but not required.
  • Proficient in Logistics Software

To perform essential job duties, all potential new hires must be eligible to drive a company vehicle according to Super-Sod insurance guidelines.

Requirements:

1) Must possess a valid driver’s license
2) No major safety and moving violations reported on MVR within the past (3) years.

Major violations include:

  • Felony convictions
  • Automobile insurance canceled or not renewed by an insurance company due to excessive tickets, accidents, points, or fraud.
  • Convicted of alcohol or drug related offense while driving.
  • Convicted of three or more speeding violations or serious moving violations; moving violations include texting or cell phone violations.
  • Been involved in two or more chargeable accidents.
