Assist Director, Assistant Director, Senior Project Manager, and Project Managers to prepare and submit contractual agreements with existing State and University laws, rules, and regulations for Architects, Contractors and consultants, prepare task orders, process invoices; and develop, implement and apply professional project cost and process controls for multiple large, complex higher education academic, healthcare and research projects greater than $10 million with an aggregate value up to $500M.
Essential Duties and Responsibilities:- Advise and assist the Capital Projects team with project-related account and budget reporting.
- Provide project managers with accurate financial information.
- Recommend solutions on financial issues.
- Prepares monthly, yearly, and special reports to track expenditures and project fund balances.
- Assist internally with project reconciliation between UT Share and UT System’s project management software, Unifier (OPUS).
- Reconciles all monthly capital project fund and project-related account statements to ensure funds are expended properly and consistent with the project budget.
- Maintain project-related accounting records, including purchase orders, contracts and change orders using OPUS, a project management application for financial reporting.
- Assist, prepare, and submit contractual and sister agreements and task orders for architects, contractors, and consultants. Process invoices as it relates to these contracts and task orders.
- Oversee and maintain compliance regarding alternate project delivery methods in area of Guaranteed Maximum Price development, submittal and approval, subcontractor selection, buy-out, schedule of values management, and payment application review and processing.
- Support Director and Assistant Director in pre-project planning activities, including support in the preparation of Capital Improvement Plan agenda items for the Board of Regents and support with Texas Higher Education Coordinating Board approval requests
- Performs other duties assigned.
- Bachelor’s degree in Accounting, Business Administration, or related field and a minimum of seven (7) years of accounting and administrative experience preferably in higher education.
- Experience with UT System-specific Software – Unifier (OPUS).
Preferred Qualifications:
- Certification from a professional contracting or purchasing organization as CPM, CTPM, CTCM, or CPPO.
- Ability to communicate effectively orally and in writing, must be able to think and act independently.
- Proficiency with Microsoft Office Suite, including Microsoft Word, Excel, Outlook, and Power Point.
- Ability to certify as Certified Texas Contract Manager (CTCM) within 18 months of hire.
- Detail Oriented individual with excellent speaking, written, and interpersonal communication skills.
- Team oriented with excellent interpersonal skills; prior work history at a higher education institution.
- Detail-oriented with excellent speaking, written and interpersonal communication skills.
- Class “C” Operator’s Driver’s License.
- Security Sensitive position.
- Work is performed in a construction office environment and may result in exposure to extreme weather conditions, chemical fumes, and electrical and mechanical hazards.
