Senior Facility Manager

Job Description Summary

  • Has responsibility and oversight of day-to-day operations of facilities in multiple locations, ensuring all services are effectively delivered and facility needs are met including; janitorial, general maintenance, engineering and soft services
  • Ensure performance management, coaching, and development of team members through established HR processes and disciplinary actions
  • Responsible for the cost-effective management of service contracts. Responsible for all aspects of service delivery pursuant to these contracts, responsible for periodic and ongoing performance and financial review, conducting RFP’s, and assuring payments and invoicing match contract pricing
  • Leads the facility management team in the supervision of all maintenance programs relating to the interior and exterior conditions and appearance and operations of the facilities
  • Ensure customer focus within all areas of operational activities and maintenance of effective relationships with key client contacts
  • Support effective business communications by providing advice and leadership while making a direct contribution during team meetings, client briefings and monthly reporting
  • Ensure optimum staffing structures operate across the portfolio to balance coverage and performance needs with the delivery of service excellence
  • Ensure portfolio is staffed by appropriately skilled personnel and teams, taking direct responsibility for the appointment of qualified personnel and an effective succession plan
  • Ensures the facility management staff consistently provides positive and prompt response to requests from the client and building occupants. Ensures facility management staff implements ongoing contract review programs to constantly assess client and occupant needs and to assure problems are being solved promptly and to the mutual benefit of the client and property
  • Prepares and delivers consolidated reporting and reviews all budgets, financial reports (monthly and quarterly), contracts expenditures and purchase orders related to the facility(s) or complex. Responsible for the development, preparation, and explanation of the annual facility budget, quarterly forecasts, and business plans
  • Directly involved in the development of capital budgets for the property. This includes contributions toward a five-year plan of maintenance, facility improvement and cost reduction initiatives
  • Responsible for the coordinating the collection, analysis and reporting by the facility management team of statistical data and analysis to provide accurate and current assessment of facility management objectives, cost savings and improvements
  • Ensure SLA’s & KPI’s are achieved and aligned with contractual agreements
  • Responsible for directing the hiring, training and motivational activities of the facility staff
  • Drive innovation through the development of best practices, operational and service efficiency as well as the identification of industry trends and tools that would contribute to our operational excellence goals
  • Support and provide leadership to achieve C&W's and Client’s vision and mission and extol its values and professional behavior in the day-to-day conduct of business delivery and staff actions
  • Ensures that all facility vendors comply with insurance requirements and coordinate all claims as required
Requirements
  • Four-year college/university degree required; or at least 7 years of facility management experience including at least 4-5 years at the level of Facility Manager
  • CFM, FMA industry certifications recommended, other Engineering, Business or technical training or certifications a plus. High and/or College degree in a related discipline preferred
  • 5+ years of related work experience in a commercial property (retail experience preferred) or any similar combination of education or experience
  • Must have strong management and leadership skills and experience with human resources and performance management processes
  • Financial knowledge necessary for developing operational and capital budgets, providing budget variances details and reporting as required by management
  • Excellent internal and external customer service skills
  • Strong interpersonal skills
  • Excellent oral and written communication skills
  • Experience in high profile public facing environment preferred
  • Proficient computer and systems knowledge
Physical Requirements
  • While performing the duties of this job, the employee is regularly required to communicate with others and exchange accurate information; travel from floor to floor and may be required to work outside in varying weather conditions
  • The employee may also be regularly required to sit or stand for prolonged periods of time
  • Regularly use hands to operate a computer and other office machinery including, but not limited to telephones, computers, and photocopy machines
  • Regularly required to walk, talk, and hear
  • Travel required by Air (10%) and Vehicle.
