Job description

This position offers a challenging and rewarding opportunity providing executive support to the Chief Administration Officer and other members of the Senior Management Team, well as providing backup support for the Senior Management Team. Candidate must be able to perform and independently coordinate a variety of diverse activities in a professional, fast-paced environment with shifting priorities. We are seeking an enthusiastic and motivated individual who enjoys providing professional executive administrative support as well as taking on complex project assignments.
Key Functions
Work collaboratively to build an effective partnership with the SVP, CAO, Senior Management Team and Executive Administrative Team to provide a full range of executive assistance with a focus on efficient organization and open communication. Core administrative responsibilities include but are not limited to:

  • Direct executive support to Wood Products Senior Vice President and Chief Administrative Officer
  • Act as primary interface and communications liaison with internal and external contacts
  • Proactively manage heavy calendar activity by resolving conflicting demands, scheduling/rescheduling meetings, coordinating meeting logistics
  • Utilize electronic filing systems to ensure efficiency of file storage and retention
  • Manage travel arrangements, often including complex logistics
  • Manage office communications flow (phone, email, mail message coordination, etc.)
  • Coordinate and orchestrate business functions and executive meetings as needed, including conferencing, audio-visual equipment, meeting materials, catering, etc.
  • Manage expense reporting, records management, materials preparation and other duties as required - Anticipate follow-up and upcoming needs of SVP and CAO
  • Provide support on special projects as needed
  • Provide backup support to the Senior Management Team and Executive Administration Team as needed
  • Partner effectively with the Executive Admin team

Qualifications
  • Five years of current experience providing Senior Executive level administrative support
  • Minimum of a high school diploma or equivalent, college degree preferred
  • Demonstrates and projects professionalism with a high degree of diplomacy, tact and judgment
  • Excellent influencing, negotiating, communication, time management, and organization skills
  • Uses sound judgment and discretion when handling highly confidential personal and professional information and proprietary materials
  • Ability to work independently with minimal supervision
  • Motivated self-starter with high performance standards, excellent attention to detail, and initiative to take action
  • Strives to exceed expectations with a customer-focus attitude
  • Ability to multi-task, anticipate needs, shift priorities and balance competing priorities
  • Seeks to improve work processes and proactively resolves issues and conflicts

  • Highly proficient with technology including Microsoft office applications such as Outlook, Word, Excel and PowerPoint' iPad' iPhone' Net meetings etc.
  • Light over night travel may be required as needed
What We Offer:
Compensation: This role is eligible for our annual merit-increase program, and we are targeting a salary range of $70,800 - $106,200 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 7% of base pay. Potential plan funding may range from zero to two times that target.

Retirement: Employees are able to enroll in our company's 401k plan, which includes a paid company match in addition to our annual contribution equal to 5% of your base salary.
Paid Time Off or Vacation: We provide eligible employees who are scheduled to work 25 hours or more per week with paid vacation for up to 3 weeks to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 hours along with paid parental leave for all full time employees.
