The School of Arts and Sciences (SAS) is the largest academic unit at Rutgers University and the center of the undergraduate experience on the Rutgers-New Brunswick campus and is comprised of 41 academic departments spanning the liberal arts. Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Department Administrator Supervisor for the Department of Anthropology within the School of Arts & Sciences (SAS). This position is responsible for administration of personnel actions, payroll, budget, grant administration, procurement, facilities projects, and accounting for Department of Anthropology and all related programs including but not l limited to the Graduate and Undergraduate programs, and the Center for Human and Evolutionary Studies (CHES).
Among the key duties of this position are the following:
  • Provides overall administrative and financial management and supervision of daily operations and performance of complex tasks for academic, research and operational of administrative unit and its affiliates.
  • Manages all aspects of the faculty research portfolio that includes activities taking place both domestically and extend globally into multiple countries.
  • Ensures timely processing of all requests and activities with prompt, professional courteous service to faculty, graduate students, Lecturers/COADs, Post Docs, and hourly workers (ie. lab assistants and work-study students and employees and administrators in other units).
  • Reviews and develops best practices and procedures for effective and efficient administration of business unit with shared electronic files, division of responsibilities to eliminate duplication of effort and coordination of all tasks.
  • Provides leadership to implement University initiatives within department and serves as a central resource for information.
  • Establishes performance standards, conducts evaluations, and has authority to hire and fire staff.
  • Creates and manages the full financial envelope of the department budget and utilizes discretion to ensure that funds are not overspent and are used optimally.
  • Analyzes financial data to monitor unit performance and incorporate into strategic planning process.
  • Works closely with Department Chair and within department unit with broadly defined objectives.
  • Keeps abreast of all planning needs and supplies or identifies historical operating data in accurate and timely manner to support strategic plans of unit.
  • Works independently with minimal review of work and broad understanding of administrative, managerial and financial operations to service unit and University.
  • Resolves diverse range of problems consistent with an understanding of the mission and role of the department.
  • Performs professional work requiring specialized knowledge in accounting, finance, management and familiarity of university structure.
  • Assists the Chair, Graduate and Undergraduate Directors with all fiscal and administrative matters of the department.
  • Overviews faculty promotions and salary requirements.

Qualifications
Minimum Education and Experience
  • Bachelor's degree in accounting, finance, business administration or related field, or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of management and administrative operations and procedures with generally accepted accounting principles and practices.
  • A minimum of 5 years relevant experience in administrative and financial/accounting functions, preferably in higher education or in research environment.

Certifications/Licenses
  • Use of personal vehicle in order to travel for business demands; a valid driver's license would be required for this position.

Required Knowledge, Skills, and Abilities
  • Excellent organizational and communications skills, strong analytical ability, computer literacy including MS Office Suite and Cornerstone, and ability to manage multiple tasks simultaneously.
  • Business administration degree with financial, organizational and human resource applications integral to perform this position's functions because so much of the work crosses reporting lines.

Preferred Qualifications
  • Prior experience budgeting and financial management including oversight of multiple administrative functions.
  • Prior supervision experience, preferably in a unionized environment.

Equipment Utilized
  • Work with desktop computer, scanner, printer. Knowledge of Cloud Financial, SciQuest, Travel and Expense Reimbursement, HCM, Tableau, SAS systems, NSF Fastlane, RAPSS, ECRT, etc.

Physical Demands and Work Environment
  • Travel to other New Brunswick campuses for training/meetings.
  • Valid Drivers' license required.
