The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Senior Associate Director, of Academic and Student Affairs will provide support in managing the Academic and Student Affairs functions of the Industrial Engineering and Operations Research (IEOR) Department, including Academic and Student Affairs management, support strategic direction to the team in consultation with the other Director of Academics, Director of Finance and Operations, and Department Chair). This role will assist with Faculty Related Matters (i.e., faculty search, faculty promotions and awards, course evaluations, and new instructor onboarding this role will also provide support in managing Graduate admissions and organizing special events (i.e., lead yield activities and open house events, etc.).

Responsibilities

  • (35%) Academic Affairs & Student Affairs

    • Set/maintain the best practices for Academic and Student Affairs area, including execution, communication, and maintenance of all functions
    • Manage the operation and functions of Departmental degrees (online and on-campus - focus on BS, Ph.D., and support of MS), minor programs (e.g. CPT, OPT, clearances, course registration, registration audits, grade review, etc.)
    • Maintain student data and tracking; provide analytics and best practices
    • Address urgent/complex student inquiries, host office hours, and collaborate with the Director of Academics and Columbia Engineering Wellness team
    • Review student performance and collaborate with various University entities to support success and degree completion
    • Manage graduation, awards, open house, orientation activities/events, etc.) including hosting various Academic and Student Affairs special events and activities, including registration advising town halls, open houses, celebrations, etc.
    • Partner with the IEOR team members to set up student/alumni socials and events for networking and Student engagement
    • Manage and partner in alumni engagement and relations, liaison with alumni, parents, and donors, on student placement, funding, research, curricular support and advisory, etc.
    • Support Graduate advising and clearances
  • (25%) Faculty Affairs

    • Manage faculty course evaluations and feedback (Report from Evaluation Kit, review course midterm and final course evaluations of faculty and adjuncts and escalate any cases to leadership to course correct, provide additional support for teaching, discuss future adjunct appointments and course scheduling)

    • Support faculty promotions and awards (collaborate with faculty and chair on documentation, pulling course evaluations and teaching data for tenure cases and school-level awards)

    • Manage faculty search with faculty committee (collaborate with faculty committee in reporting applications, management of application materials, scheduling job talks with candidates)

    • Support the adjunct appointment process, review adjunct salaries and appointment letters (review course offerings and course needs to appoint adjuncts, schedule the adjunct-led courses, consult on adjunct salaries with Chair and school guidelines, and review appointment offer letters to match the title, course information and salary amounts)

    • Manage new instructors (e.g., adjuncts and full-time faculty) onboarding (hosting sessions to provide guidelines and best practices, provide access/guidance to coursework/SSOL for course material/syllabus/textbook information uploads and grade submissions)

    • Support faculty promotions and awards

    • Oversee faculty search with faculty committee

  • (15%)Curriculum and Course Management
    • Lead curriculum development and changes with Program Directors and Leadership
    • Manage COI submissions of curricular changes, new courses, course numbers/titles
    • Manage course scheduling of Fall, Spring and Summer courses, including CBS courses for MSE/MSBA programs, collection of teaching preferences
    • Manage Bulletin updates
  • (20%)Administrative and Operations

    • Supervise full-time staff members while providing support and guidance on BS and PhD academic Student Affairs matters and assisting with MS academic Student Affairs during peak periods, provide developmental support to staff members)
    • Provide strategic direction to the team in collaboration with the Director of Academics and Chair (consult with leadership on curriculum changes issues and provide resolutions and plans of Academic program planning for the Department)
    • Manage Departmental special events with Events Coordinator
    • Provide content for the Departmental website in the areas of admissions, Academic and Student Affairs, and curricular changes
    • Manage email correspondences of various email groups (academic info, admissions, forms, cross-registration etc.)
  • (5%)Other related duties, as assigned

Minimum Qualifications

  • A bachelor degree is required; graduate level work is preferred. Minimum of 3-5 years of related student/academic affairs experience required, with an ability to identify and analyze trends in the academic process.
  • Familiar and appreciate student and academic affairs, departmental program curriculum and requirements, and web management and administration.
  • Strong computer literacy/proficiency required: an understanding and appreciation of student services database software and on-line resources, and the willingness to respond to the needs of prospective and current students and faculty in a technologically-oriented society. Proficiency with Google suite of products, MS office, publishing software, etc.
  • Strong presentations skills; must be able to deliver and moderate important Academic and advising information in large forums (in-person and virtual); must be able to lead events and advising townhalls and yield events.
  • Ability to work independently and under pressure, with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.
  • Candidate must exercise good judgment and flexibility, with a student-wellness mindset. Positive, mission-oriented, forward-thinking attitude and sense of humor is a must.
  • Must be able to communicate effectively and tactfully with staff, faculty, students, employers, and alumni. Excellent command of English (verbal and written).
