The position:
Reporting to and working closely with the Design Principal (Brynn Olson, Founder), the individual in this position ensures consistently sound planning and execution of the business and administrative work of the firm. Succeeding in this role entails development of trust and rapport with colleagues throughout the firm, and a deep understanding of our design project workflows and related protocols and the related internal operations and administrative work of the firm.
We believe this is the ideal role for a self-starting, highly accountable team player with strong attention to detail who loves to keep things running smoothly “in the weeds” in the interest of creating amazing outcomes in an intensive client service business. We’re looking for a high performing individual who can deliver against the task-level responsibilities of the role while understanding the story in the numbers and deliver insights that help inform the various decisions that shape the business ranging from overall strategy to the all-important details of operating protocols.
Key responsibilities:
Core business accounting and administrative management support:
1. Invoice generation and money in accounting, reporting and analysis:
- Monitor design project workflows end to end, from new client onboarding to project close-out, and generate monthly time billing and other invoices based on project activities/milestones:
- Send invoices to clients and address questions in collaboration with design team members and senior leadership
- Book money in transactions and other design project activity related entries, and generate reporting and analysis to enhance visibility and enable steering by internal stakeholders
2. Support design project and corporate general & administrative workflows to help build and maintain a culture of proactivity, attention to detail and ensure accurate tracking + timely data, timely flow of funds into and out of the company, and insightful reporting & analysis as the firm operates and grows.
- Develop mastery of Studio Webware, our project management and bookkeeping/ERP software
- Oversee Money Out for design projects and corporate expenses, and own/drive analysis and reporting
- Own archival of design project purchasing and expense, and corporate expense records (audit readiness, etc.)
- Deliver weekly activity/timesheet entry reporting and expense sheet reviews to design project and company overall senior leaders, and help coordinate work across teams to ensure quality (resolve discrepancies, etc.)
- Prepare and deliver overall business operations and financial reports and analysis
3. Support company administrative work e.g. compliance, registrations, insurance, etc.
4. Support potential new client communication and signed new client contracting and onboarding workflows including scope of work/estimate creation, project setups within ERP, etc.
Team and workflow support:
- Support employee onboarding and offboarding, training and performance management programs and related administrative duties
- Support vendor and company inventory management programs
Most desired experience and competencies:
- In-house accounting and administrative experience within a high-touch client service context; a plus if within interior design and/or architecture business(es)
- Bachelor's degree in Accounting, Finance, or Economics or equivalent experience
- Strong attention to detail + overall business acumen
- Strong understanding of the fundamentals of business operations and related accounting for project-based service businesses (including both time-billing and sale of goods-based revenue and costs)
- Proficiency in Studio Webware a plus
- Strong organizational skills; derives enjoyment from building and improving business operations and getting things done
- Self-starting, high accountability working style
- Strong teamwork / written and verbal communication skills
- Ability to represent our brand of integrity, high accountability, and having fun while getting it right in a complex, project-based business
