- Provide comprehensive administrative support to program administrators and supervisors, facilitating efficient day-to-day operations within the Innovative Educational Services Division.
- Utilize a variety of databases and project management software with fluency to store, process, analyze, and extract information.
- Generate and prepare various documents, including text and presentations, by transcribing, formatting, designing templates and graphics, and editing data.
- Support project implementation by organizing and coordinating the necessary purchasing and dissemination of materials, supplies, resources, etc. with colleagues.
- Create and deploy processes that support budget management for the implementation of fiscal resources including federal, state, and local grants, customer budgets, and contractor leadership. Monitor and communicate fiscal expenditures to the Division administrators and supervisors, ensuring financial integrity.
- Develop routine financial reports, budget outlines, and processes that allow administrators and colleagues to make data-informed decisions in critical areas of operation (enrollment, budget projects, program efficiency, audience analysis, etc.)
- Safeguard sensitive information by diligently overseeing the creation and secure storage of confidential reports, such as service agreement details. Strict confidentiality regarding all Intermediate Unit personnel records and sensitive district/client data. This also includes managing document transmission and maintaining a systematic filing system.
- Efficiently coordinate and optimize staff schedules to ensure seamless operations.
- Support the establishment, improvement, and enhancement of collaborative, exceptional and innovative customer relations processes.
- Frequently communicate and attend to varying projects, tasks, demands and customer needs.
- Act as a pivotal liaison among program administrators, supervisors, school districts, state entities, and other departments, promoting interdepartmental communication when necessary.
- Exceed the standard expectations of the role, displaying initiative and commitment to undertake additional tasks as required for the Division's success.
- Consistently deliver high-quality work, demonstrating attention to detail and a commitment to excellence in all job functions.
